What happens to a reserve when the account closes

Closure alone does not tell you that reserved money is released. Read the reserve notice and applicable account terms alongside the closure notice and any later reserve decision. Separate an owner’s voluntary closure request from a provider’s restriction or termination. Stripe’s reserve FAQ describes release of unused funds under the reserve terms, possible uses for refunds and disputes, and possible extensions after review. Record the current reserve balance and the written release condition; where the documents do not explain closure’s effect, obtain a dated answer rather than creating a new release date.

Identify which closure event happened

Record who initiated the change, what service or account the notice names, and the effective date. An owner asking to close an account, a provider ending processing, and a restriction on payouts are different events. If the document says processing ends, do not rewrite it as confirmation that all funds have been paid out or that every account function has ended.

Stripe’s article about closing an account with an existing balance concerns the owner-close flow. It says an existing balance prevents that closure, a negative balance must be brought to zero, a positive balance is paid out, and scheduled payouts continue. That is not a statement that Stripe cannot restrict or terminate an account while holding funds. It also does not establish that a reserve has become available for an owner to withdraw.

If you requested closure but it has not completed because a balance remains, record closure requested and the stated reason it is pending. If the provider initiated the termination, preserve that notice instead of applying instructions for voluntary closure. The distinction determines which question you ask about the reserve.

Give each document its own job

The reserve notice identifies the hold: its amount or percentage, the funds it applies to, the stated term, and any release or review condition. The closure notice identifies the account event and any instructions it gives about retained funds. A later written reserve decision may explain what changed. The applicable agreement supplies contractual terms, while the balance records show recorded movements. No single document should be made to answer a question it never addresses.

Put the reserve clause and the closure sentence beside each other. If closure explicitly changes the reserve condition, preserve the exact wording and effective date. If it says nothing about the reserve, mark the effect of closure unresolved. If two documents conflict, ask the provider which clause and version apply rather than deciding that the later email must override every agreement term.

Stripe’s general agreement combines general, service, and incorporated terms, with regional terms depending on the account country. Read the terms applicable to the actual merchant and service. The public agreement is not a substitute for identifying those documents or for a legal interpretation of a disputed right to funds.

Reconcile what remains held and what was used

Start with the last dated reserve balance you can substantiate. Locate subsequent entries identifying money added to reserve, used for refunds or disputes, or released. Record the currency and date of each movement. Do not treat a lower reserve total as proof of a payout: money may have been used for an obligation rather than returned to the business.

Stripe’s reserve FAQ says reserves cover potential refund and dispute losses, and unused funds are released at the end of the reserve period. It also describes review before expiry and possible changes or extensions; in rare cases a reserve may remain indefinitely. The FAQ does not say closing the account automatically cancels that review or accelerates the release.

List unresolved refunds and disputes next to the reserve record using non-sensitive case labels. Stripe says the owner remains responsible for those events after closure. A current reserve balance does not prove that it will cover every later obligation. Separately list available funds, any other balance, and scheduled payouts shown in the account records, so none is counted twice.

Keep the release condition and the bank result separate

Copy the reserve’s stated release condition and any date it actually provides. Record a review date as a review date. If the provider extends the hold, preserve the new notice with the original rather than overwriting the first entry. An expired date with no release record is an unresolved event to query, not proof that the money has reached the bank.

Follow the chain only as far as records support it: a reserve movement marked as release, a payout recorded by the provider, and a credit posted by the bank. When one is missing, name that missing record. For an already closed account without access, use the official correspondence channel to request the relevant statement and the reserve decision; continuing responsibility does not itself restore account access.

Ask in writing which current term governs the held funds after this closure event, what remains reserved, what has been applied to obligations, and what condition or review controls any remainder. Include the dates and document references in the authorized provider channel. If the reply gives a condition but no date, keep that distinction in the timeline.

Record surviving duties without assuming a final settlement

Closure is not evidence that all amounts have been settled. Stripe’s general terms include a debit authorization that can survive account closure until amounts are paid. The applicability of that clause depends on the merchant’s actual agreements and regional terms. A reserve record therefore needs to sit alongside the remaining balance and obligations, not replace them.

Your completed timeline should identify the event, the governing documents you found, the last verified funds position, and the exact unanswered release question. Keep any written reply and its date with it. A reply that confirms processing has ended but does not discuss the reserve leaves the reserve question open.

Complete this from the actual account’s documents and dated movements. Keep event dates, review dates, release records, and deposits separate. Use record locations and non-sensitive labels; an empty release entry remains unresolved until supported.
