Store operations for a research-only business

Prism sets up and repairs the working parts of a research-only store after checkout: the order emails a buyer should receive, the customer follow-up and CRM messages the store sends, and the connection between store orders and a shipping or fulfillment tool. The work is scoped to the tools your store already uses, where Prism supports them, and that is confirmed in the consultation. Shipping services and rates come from the connected provider. Prism confirms the supported connection and the work to be done before setup.

Name the workflow that is failing

A buyer who never received an order confirmation, a follow-up message someone has to send by hand, and a paid order that never reached the shipping tool are three different repairs. Each starts from a different record, and fixing one does not test the others.

Start from one real example: the order, the message or handoff you expected, and what happened instead. That example decides where the trace begins. Describe it without customer names or addresses.

Order emails

A missing order email stops at one of four places: the order status, the store's notification setting, the send attempt, or delivery. On WooCommerce, a new order still in Pending payment does not send the email, each notification can be turned off, and the transactional-emails log records every attempt as sent, failed, disabled, or skipped.

Sent means the store handed the message to its mail system. It does not mean the inbox received it. WooCommerce tells merchants to use a From address on the store's domain, and authentication such as SPF, DKIM, and DMARC is set up through the host or the mail service that actually sends.

Prism traces the email to the place it stopped and repairs the part the store controls, such as a disabled notification, a missing recipient, or a From address that does not use the store's domain. Whether a receiving mailbox accepts a message the log marked sent stays with the host or the mail service. Prism does not promise inbox delivery.

Customer follow-up and CRM messages

Follow-up messages, such as a note after an order ships, are sent by the store's email or CRM tool rather than by the order itself. Prism sets them up or repairs them inside the tool your store uses, where Prism supports that tool, and confirms the tool and the messages in the consultation.

Not every automated flow is available for every store. The flows in scope are agreed before work begins, and Prism does not promise a response rate, recovered sales, or any revenue figure from a message.

Shipping and fulfillment connections

An accepted order has been handed off when a fulfillment reference exists for it. On WooCommerce, Processing means payment was received and the order is awaiting fulfillment. On hold still needs payment confirmation and is not the same cue. An accepted order with no matching reference in the store is a missing handoff, whatever someone remembers packing.

Prism connects or repairs the handoff between store orders and a shipping or fulfillment tool it supports, and confirms which tools in the consultation. The work can include the shipping rules a buyer sees at checkout. On WooCommerce, a buyer matches one shipping zone, the first in the list that fits the shipping address, and sees that zone's methods, so the zone order and the method settings decide which rates appear. A live rate from a carrier or an app is decided by that carrier or app.

A change of fulfillment partner is the same kind of work. The store's shipping zones and methods, the tracking details on its fulfillment records, and its stock settings stay in the store, so each has to be checked against the new partner instead of being assumed to follow it.

What you receive, and what stays with you

Each engagement starts from a written scope that names the workflow, the tool, and the setup or repair to be done. Scope, fees, and terms are agreed before work begins.

You receive a plain account of what was failing and where, the configured or repaired workflow, and a note of what was changed and what your team maintains from here.

In the consultation request, name the email, CRM, or shipping tool involved and describe one real example of what failed. Leave out customer names, addresses, and mailbox passwords.

Use one real example per row. Record the type of message or handoff and what happened, not customer details. Write unknown where you have not checked.

Worksheet entries are not submitted by Prism’s worksheet and are not saved by the site. Use record types, availability, anonymized observations, or match/mismatch results. Do not enter government identifiers, customer names or addresses, customer messages, receipt-access links, card or bank details, passwords, or keys. Send sensitive documents only through the provider’s verified secure channel.

Built-in methods are Flat Rate, Free Shipping, and Local Pickup. The first enabled method is the default. A missing core method is likely a third-party extension.
  • WooCommerce order fulfillment — checked 2026-09-21. A fulfillment stores items, draft or fulfilled status, and tracking details. Draft changes do not email the customer. Fulfilling items can notify the customer with tracking. Order-level status can be none, partial, or fulfilled.
  • WooCommerce product inventory settings — checked 2026-09-21. Enabled stock management keeps quantities and subtracts them on sales or returns. Disabled management does not keep counts. Hold stock applies to Pending payment orders only.
