Start with the dispute notice and the original payment account, even if your store now uses a different provider. Record the case reference, reason, amount, currency, and exact response deadline. Locate the exported payment and order records, then establish which authorized response channel is actually available after closure. Responsibility for a Stripe dispute survives closure; that does not restore Dashboard access or create a new submission route. Prepare the relevant evidence while resolving access, and do not wait for a consultation or assume a support request extends the deadline.

Keep the received notice with the closure notice. Match the dispute’s payment reference to the original payment record and then to the store order. Preserve the payment date and the dispute-notice date separately: the new event concerns an earlier payment. Use the provider named on that payment, not the gateway now enabled on the storefront, to identify where the case belongs.
Stripe describes a formal card dispute as a cardholder questioning a payment with the issuer, followed by a reversal through the card network. Stripe debits the payment amount and a dispute fee from the business’s balance. Copy the amount, currency, fee entry, and status from this case rather than assuming every notice has the same financial effect or charge.
Read the document’s event label. A formal dispute and an inquiry are not interchangeable. This guide addresses the formal dispute that requires an accept-or-challenge decision. If you cannot match the reference or determine the event type, record that exact gap when contacting the original provider through an official channel.
Resolve the response path while the deadline is still running
Copy the deadline exactly, including the time and time zone when stated. Assign a person to own the response and another authorized contact if that person is unavailable. A closure date, a date a customer sent a message, and the dispute response deadline are different dates. If the notice omits part of the time reference, ask the provider to clarify it promptly.
Stripe’s response documentation describes a limited response window and says missing it loses the dispute. Its ordinary submission routes do not establish that those routes remain accessible on your closed account. Record whether authorized access works now. If it does not, contact the original provider using the official channel in the notice or your established account correspondence, identify the dispute privately, and ask whether and how a response can still be submitted.
Treat an unanswered access request as an unresolved dependency. Do not record an email asking for help as the dispute response unless the provider confirms that it is the authorized submission. Keep the request date, case reference, and any written instructions. No response from support, and no consultation request, should be treated as a deadline extension. Continue assembling the records while the access question is open.
Build the evidence from what survived closure
Inventory the export actually saved before access ended: the original payment, associated refunds, the order, the version of the relevant product description and policy, fulfillment records, and communications. Keep the originals in authorized storage. An export’s filename is not enough; check whether it covers this payment and the dates at issue. A payment export may establish the transaction without containing the order history needed to explain it.
Use each document for the fact it can establish. A payment record connects the charge to the case. A dated order record describes what was ordered. A carrier record describes its recorded shipment events. A communication preserves what was said and when. Match those facts to the reason on the notice; do not assemble an unrelated collection simply because the files are available.
If the original payment was not exported, mark it missing and list the records you still hold that can help the provider locate it. Do not reconstruct a provider status from memory or substitute a later product description for the version shown at purchase. Keep contradictions and missing events visible. Closure explains the access problem; it does not prove the buyer’s claim is wrong.
Separate the submission decision from the money still owed
For a Stripe formal dispute, the merchant can accept or challenge through the applicable process, while the issuer decides a challenged case. Have the authorized business owner record that choice. Before final submission, confirm the case, the stated reason, the available evidence, and the channel. Stripe says evidence can be submitted once and cannot be edited afterward. A stored draft is not proof that the response was submitted; retain the actual submission confirmation if one is provided.
Stripe states that the account owner remains responsible for refunds and disputes after closure. Match the dispute debit and any fee to the remaining account records. If funds are held in reserve, ask how the provider has recorded any use of those funds for this case; do not count the reserve as both untouched money and a settled liability.
If a balance or collection amount remains unexplained, request an itemized written account from the provider. The closure notice and case records, not this worksheet, establish the amounts and any payment instructions. Do not assume that a remaining balance covers the case or that accepting the dispute erases a separate fee.
Preserve the handoff and the next unresolved action
Your working record should now show a matched case or an exact identification gap, the original deadline, the person responsible, the evidence available, the response channel confirmed or still unresolved, and the submission status. Keep the later issuer decision with the same record. This lets the next authorized person continue the case without repeating guesses about the closed account.
