Check the case after a customer says they withdrew

Retain the customer's genuine message, link it to the correct payment and case, and read the current provider state, latest instruction and stated deadline. Record the message as a customer report until the case record establishes the outcome. Stripe says the issuer decides a formal dispute and the response window is limited. A withdrawal message alone does not establish closure, extend that window or tell the merchant which response to submit.

Preserve what the customer actually reported

Keep the original message with its received date and the order or payment it concerns. Distinguish a customer saying they intend to contact their bank from a customer reporting that they already did. Neither statement, by itself, records the issuer's decision. Summarize the wording accurately in internal notes without changing a report into a confirmed status.

Match the message to the provider's case reference and its linked payment. If the customer has several orders or the message does not identify the charge, the association remains unresolved. Do not attach it to the most recent case solely because the sender is the same. Keep original communications in the controlled order or case file; the worksheet needs a reference, not personal correspondence copied in full.

Read the current instruction without erasing the deadline

Open the matched case and record its current state, the time you read it, the latest actual provider instruction and any response deadline, including its time reference. These observations may differ from an earlier email or the customer's latest message. Preserve that disagreement so the assigned owner knows which statement comes from which system.

Stripe's response guidance says a formal dispute has a limited response window and that missing it loses the dispute. It also says the issuer decides the result. Do not replace a recorded deadline with an assumed waiting period for a withdrawal to appear. Unless the provider's actual case instructions change, the existing instruction remains the operational reference to resolve with the case owner.

If a provider message and its case screen conflict, save both references and ask which instruction governs this case. Continue to flag the stated deadline while that question is open. The absence of an answer is not an extension, and the customer's message is not a substitute for a provider instruction.

Do not use a response button as a withdrawal shortcut

Stripe distinguishes accepting a formal dispute from challenging it. Accepting communicates that the merchant is not contesting the amount; it is not a way to record that the customer says they withdrew. Stripe also says accepting an inquiry does not resolve it. Confirm the event type before interpreting any available response action.

For a challenge, Stripe says evidence is submitted once and cannot be edited after submission. Preserve the withdrawal communication for the authorized case owner to evaluate alongside the stated dispute reason and the provider's actual instructions. A message may be relevant evidence without proving that no other response is needed. Do not infer a universal withdrawal procedure, required document or response choice from this guide.

An open Stripe dispute also restricts issuing a refund outside its process. A customer's withdrawal report therefore does not authorize a separate refund. If the commercial remedy and the case status remain inconsistent, record that as an unresolved decision for the authorized owner within the provider's process.

Give one owner a precise next action

The handoff should state the message reference, matched case, current case state, latest instruction and deadline, then identify what remains unknown. If the case still calls for a response, the owner needs to address that instruction before its stated deadline. If the provider records a final outcome, preserve the outcome it actually names and any remaining instruction; do not substitute the customer's description for it.

Until the provider record supports closure, support staff can accurately record that the customer reported withdrawal and that the case status is still being checked. Do not tell the customer that the issuer has closed the case, returned funds or changed a deadline without that evidence.

Withdrawal status comparison

Use one message-to-case match. Keep each statement attributed to the customer or provider and dated. A difference between those statements remains open until the case owner has a supported instruction; it does not suspend the recorded deadline.
