A dispute deadline needs an owner and the original time reference
The merchant should assign a named person to own the case response through the provider's stated channel and obtain that person's acknowledgment. Keep the original deadline text, date, time and timezone beside the case reference. If the notice omits a time or timezone, record the omission and request confirmation through the provider's verified channel; do not silently assume local midnight. An internal reminder, forwarded email or support request does not establish that the response was submitted or that the provider's deadline changed.

Open the actual case record or notice and preserve the deadline exactly as displayed, together with where and when you read it. Keep the account and case reference associated with that record. A date copied into a task without its original time reference leaves the next person unable to verify the cutoff.
If the provider supplies a timezone or UTC offset, retain it even when the team adds a local calendar time. Label the conversion separately and check that it refers to the same date and instant. If the source supplies only a date, the record should say that the time and timezone were not stated. Do not turn an omitted detail into an end-of-day promise.
When the notice and case screen disagree, preserve both versions and route the specific conflict for confirmation immediately. The clarification request is separate from the response due on the case. Continue preparing the response while it is open; an unanswered question is not evidence of an extension.
Make the handoff an acknowledged responsibility
Name one person who will track the case to the required action and verify the result. That person may need a separate authorized decision maker to approve accepting or challenging the dispute, and a separate operator who can use the provider account. Write those dependencies explicitly instead of assigning the task to an unmonitored team label.
The receiving owner should acknowledge the exact case, original deadline and next action. Confirm that the designated operator can reach the actual submission channel with their own authorized access. Knowing where the evidence is stored does not establish permission to submit it. If the owner is unavailable or access is missing, route that gap to the merchant's authorized account administrator and name who remains responsible in the meantime.
Set an internal preparation checkpoint early enough for the merchant's real review and access needs. Label it as an internal target, not a provider deadline. The handoff should make clear who escalates an unfinished decision or missing evidence before the official window closes. This worksheet does not supply a universal buffer or response period.
Identify the case action before the owner submits
Stripe distinguishes accepting a formal dispute from challenging it. Accepting means the merchant is not contesting the amount; challenging uses the evidence response process. Stripe also warns that accepting an inquiry does not resolve that inquiry. The owner therefore needs the case's actual type and status, not just a task titled chargeback.
For Stripe, the response window is limited, missing it loses the dispute, and evidence is submitted once through the Dashboard or API and cannot then be edited. These facts make a last-minute ambiguous handoff consequential. They do not establish a deadline for another provider. Use the channel and action shown for the actual case, and keep evidence preparation separate from final submission.
Close the handoff with a provider record
After the authorized action, retain the case status, recorded submission or acceptance time and confirmation reference available in the provider system. A saved draft or a message to a colleague is not the same evidence. If there is no confirmation, leave submission unverified and have the owner check the case rather than report completion from the internal task alone.
Record remaining follow-up without predicting the decision. Stripe says the issuer decides a challenged dispute's outcome and advises keeping communication records. The responsibility log proves who owned the action and what the provider recorded; it does not prove that the merchant will win.
If a recurring handoff problem warrants a Prism checkout or operations consultation, describe the systems involved and where responsibility becomes unclear. Confirm any dispute-support work, access, responsibilities, fees and terms separately. A consultation inquiry does not take over a live deadline or create a response-time commitment.

Limits
The case provider supplies the actual deadline and channel. This guide supplies no default timezone, extension or universal response window.
Stripe's formal-dispute and inquiry rules apply to Stripe. Another provider's process requires its own instructions.
