Check completeness before the dispute evidence is submitted

For a Stripe dispute, finalize the response only after the authorized decision-maker has checked the case deadline, the stated reason, the relevant existing records and the exact response being sent. Stripe says evidence can be submitted once and cannot be edited afterward. A missing fact must stay visible; a polished explanation cannot replace proof. Decide whether to accept or challenge the formal dispute within its actual response window. Do not wait for a Prism consultation past that deadline. The issuer decides the outcome.

Confirm the case before deciding that the packet is ready

Open the actual provider case and match it to the order and payment in your internal records. Copy the case type, reason and deadline, including the time reference the provider displays. A deadline from another case or a general response-window estimate cannot establish how much time this case has left. Stripe states that missing the response window loses the dispute.

Check whether the event is a formal dispute or an inquiry. Stripe distinguishes accepting a formal dispute from challenging it: accepting means the business is not contesting the amount. Accepting an inquiry does not resolve it. If the record is an inquiry, use the inquiry instructions rather than assuming that the formal-dispute choice closes it.

Completeness means relevant, traceable and honest

Read the requested evidence against the reason on this case. For each statement in the response, identify the existing record that supports it and confirm that record belongs to this order. A collection of attachments is incomplete when the central statement still has no supporting record. Conversely, more files do not repair an attachment that belongs to a different order.

Keep the original communications, order events and other relevant records in the authorized evidence system. Check that the dates and descriptions in the final response agree with those records. Preserve a contradiction and explain what remains unresolved; do not remove an inconvenient event or rewrite an original message to make the response consistent.

Distinguish a record that exists but has not yet been included from a fact the business cannot establish. The first may be a preparation task that can be finished before the deadline. The second is an evidential limit. Do not describe a missing delivery record, agreement or communication as if it existed. The case request determines what is needed; this worksheet supplies no universal list of mandatory attachments.

Review the actual submission, then make the decision

Review the final text and attachments in the submission being prepared, not just the source folder. Confirm that the files are the intended versions, readable and tied to the correct case. Compare each requested item with what is actually included. Record any omission, its consequence for the response and whether a genuine record can still be retrieved in time.

The authorized decision-maker must then choose whether the business accepts or challenges the formal dispute. If challenging, that person should know both what the evidence supports and what it cannot establish. A staff member who assembled files does not thereby acquire authority to make that choice. Identify the person authorized to submit and ensure they can use the provider process before the deadline.

Treat final submission as the boundary after which this packet cannot be revised under Stripe’s documented process. Keep the provider’s submission confirmation and a copy of what was sent in the merchant’s authorized records. A prepared worksheet or saved draft is not evidence that the response was submitted. Submission also does not establish that the issuer accepted the merchant’s argument.

Make the handoff fit the remaining time

If a relevant record is missing, assign its retrieval to a named owner with a handoff time that leaves the authorized submitter time to act. This internal handoff does not extend the provider deadline. When the gap cannot be closed, the decision-maker must act on the evidence actually available through the provider’s process; waiting for a better narrative does not preserve the response window.

Evidence submission readiness

Complete this against one actual case before final submission. Record non-sensitive references and gaps, keeping original evidence in your authorized system. An unresolved row requires an explicit decision; a completed sheet neither submits evidence nor predicts the outcome.
