Correct a tracking association without losing the record
Match the carrier and parcel reference to the actual dispatch record, then match that dispatch record to the order and items it fulfilled. A tracking number appearing on an order proves the recorded association, not that the association is correct. Preserve the original reference and messages in a restricted correction record, confirm the right association, and have the authorized owner correct it with deliberate notification settings.

Start with the order named in the report and the tracking information currently attached to it. Record when the mismatch was reported and where the buyer encountered it: an email, an account page or another shipment message. Do not ask the buyer to send another customer’s details to demonstrate the problem.
Within authorized internal systems, compare the carrier and tracking reference with the shipping label or dispatch record. Use that record’s order reference, items and quantities to locate the intended order. Check the destination only within the restricted records needed for the match. A similar dispatch date or product alone is not enough to assign a parcel to an order.
Then distinguish a wrong association from an order that legitimately has several parcels. If the dispatch record cannot establish the correct order, keep the association unresolved. Do not move tracking onto the most plausible order or arrange a replacement shipment solely to make the records appear consistent.
Identify what the store actually recorded
Where the documented WooCommerce Fulfillments feature is present, each fulfillment records products and quantities, draft or fulfilled status, and shipping or tracking information. Compare the affected fulfillment as well as the order. The tracking field and the assigned items need to agree with the real dispatch record; changing one does not prove the other was correct.
WooCommerce calculates the order-level fulfillment state from items and fulfillment records. A partial state can reflect unassigned items or a fulfillment still in draft. Extensions can add behavior, so record the active fulfillment feature or plugin before selecting an edit. Do not assume every WooCommerce installation exposes the documented model.
A fulfilled application record is not independent carrier proof. Keep the carrier’s events, the store’s association and the buyer’s report separate. Correcting a tracking association does not itself establish that the parcel moved, arrived or reached the intended recipient. Payment and refund records also require their own checks if a remedy is later considered.
Preserve the correction and control the message
Before editing, retain a restricted record of the original association, the evidence establishing the corrected one, the time and the authorized person responsible. Use internal references in the worksheet so private tracking links and customer details do not spread into ordinary correspondence. Preserve history without leaving known incorrect tracking presented as current.
Notification behavior depends on the fulfillment state. WooCommerce documents that creating, editing or removing a draft fulfillment does not send customer notifications. Fulfilling a draft, or updating or removing a fulfilled fulfillment, can notify the customer according to its notification toggle. Read the setting before acting; do not delete and recreate a fulfillment as though both actions were silent.
Order notes have their own audience. WooCommerce distinguishes system, private and customer notes, and customer notes are emailed. Put the internal investigation in the appropriate restricted record, not in a customer note containing another order’s details. A private correction record and a concise buyer-facing explanation serve different purposes.
Verify the corrected view and handle prior disclosure
The authorized owner should check the affected order and the order that should hold the parcel reference after the correction. Confirm that the actual items and quantities remain correct and that the buyer-facing view no longer presents the wrong association. Record what was changed and which observation establishes the result.
Inventory messages already sent separately from the corrected page. A notification setting describes intended sending behavior, not proof of email delivery. An edit also cannot demonstrate that an earlier recipient no longer has the previous message. Keep the send or delivery evidence your systems actually provide and do not claim an email was recalled.
If the incorrect link or message disclosed another person’s information, route the facts through the merchant’s designated privacy or incident process. Record the recipient, channel and categories of information in an appropriately restricted location. Do not repeat the exposed details in a correction message or infer legal notification duties from this worksheet.

Tracking association correction
Use this internally for one reported mismatch. Enter safe internal record references rather than customer names, destinations or private tracking URLs. An unresolved parcel match blocks reassignment; a corrected association and the handling of earlier messages must each have their own recorded result.
