Partial shipments: keep the order status and the buyer's picture in agreement

Keep a quantity-level record of what each parcel contains and what still remains to be fulfilled. The order's fulfillment summary should agree with those records, and each buyer message should identify the relevant shipment without implying that outstanding items have shipped. Where WooCommerce's documented Fulfillments feature is present, the order-level state is calculated from individual fulfillments; a partial state can reflect unassigned items or a fulfillment still in draft. Drafts do not notify buyers. Check payment separately: a fully captured payment does not establish complete shipment, and a split shipment does not create a new payment action.

Make every ordered quantity accountable

Read the original order lines and the current record of any authorized changes. For each product or variation, identify the quantity included in each real shipment and the quantity still outstanding. Retain approved cancellations or other changes as their own history instead of silently reducing the original order so that it appears fully shipped. A refund amount alone is not a reliable statement of which quantities remain to fulfill.

Associate each parcel with the item lines and quantities it actually contains. A tracking reference attached to the whole order cannot by itself explain which items are inside that parcel. Match the fulfillment entry to the dispatch record, and keep any carrier events separate from the store's own assertion that items are fulfilled. A draft entry can organize planned work, but it does not establish physical shipment.

The reconciliation is complete when each currently required quantity is either supported by a fulfillment and dispatch record or remains explicitly outstanding. If a quantity is missing from both groups or counted in more than one parcel, resolve that difference before treating the order as complete. Do not invent an expected parcel or a dispatch time to make the totals balance.

Read the fulfillment summary in the system you actually use

Confirm the platform, active fulfillment feature and any extension that controls its statuses. WooCommerce's documented Fulfillments feature stores products and quantities, shipping information and an individual draft or fulfilled status. Its order-level summary is calculated from the constituent items and fulfillments. No fulfillments, partially fulfilled and fulfilled describe that model; third-party plugins can extend it, so do not assume every installation presents those same fields.

A partially fulfilled summary can mean that some items have not been assigned to a fulfillment, or that items have been assigned but a fulfillment remains in draft. Those are different next tasks: assign genuinely outstanding work, or verify the actual stage of an already planned shipment. Marking a draft fulfilled merely to clear the partial label would substitute a status edit for that verification.

WooCommerce's general order-status documentation describes Processing as paid and awaiting fulfillment, and Completed as fulfilled and complete. That general order status and the fulfillment panel are records to reconcile, not interchangeable controls. If the order or its outgoing message says complete while quantities remain outstanding, investigate the setting, extension or manual action that produced the contradiction. Follow the installed system's documented correction process while preserving what the buyer was already told.

Make each shipment message describe only that shipment

For the parcel being dispatched, the buyer needs the included item names and quantities, the relevant tracking if available, and a clear account of what remains. Use the actual order terminology without introducing a product use or outcome. If the remainder has a confirmed schedule, identify its basis; if no date is confirmed, say the timing remains unconfirmed and give only a follow-up commitment the team can keep.

In the documented WooCommerce feature, creating, editing or removing a draft fulfillment does not email the buyer. Fulfilling it can notify according to the notification toggle, and a later change to a fulfilled entry can also notify when enabled. A saved plan for the second parcel therefore does not tell the customer that more items are coming. Decide who sends the remainder update and verify the relevant notification record; do not rely on the existence of a draft.

Compare the actual shipment message and any general order-completion email with the quantity record. WooCommerce's order-status documentation says status changes can generate customer emails, so the buyer may receive messages from more than one part of the workflow. A parcel-specific notice and a whole-order completion message must not give contradictory accounts. Check what the messages actually said and retain corrections rather than assuming a label in administration is the buyer's entire view.

Leave the remainder open without changing the meaning of paid

Record payment state alongside fulfillment rather than deriving one from the other. Shopify explicitly separates payment statuses such as Paid and Authorized from fulfillment statuses such as Unfulfilled, Partially fulfilled and Fulfilled. Use that distinction only in the platform's actual vocabulary. On WooCommerce, likewise compare the payment record independently of the fulfillment entries. A full capture can coexist with quantities awaiting dispatch.

Do not interpret partial shipment as a request to refund, capture again or charge for a second parcel. Any payment change requires its own authorized decision and supported provider process. The representation task here is to show the money already recorded and the goods still owed without hiding either behind a single status word.

Assign the remaining items to a responsible role with a next check, even if the next dispatch date is not yet known. Close the outstanding work only after the required quantities, actual shipment records and buyer update agree. A carrier delivery exception can remain a separate open issue even after the application's fulfillments are all marked fulfilled.

For repeated disagreement between partial shipments, order status and customer messages, bring the platform and a non-sensitive description of the conflicting states to Prism's checkout-review consultation. Confirm which order-workflow or notification assistance is in scope, who owns the changes, and the fees and terms before work. Keep order exports and buyer communications in authorized systems rather than the public inquiry.

Partial-fulfillment state sheet

Use one real order. Reconcile the item and parcel rows for each actual shipment, then record the outstanding quantities and their owner. Keep detailed records in the authorized order system and enter non-sensitive findings here. A partial label alone does not identify what remains; a completed label is reliable only when its underlying records agree.

Worksheet entries are not submitted by Prism’s worksheet and are not saved by the site. Use record types, availability, anonymized observations, or match/mismatch results. Do not enter government identifiers, customer names or addresses, customer messages, receipt-access links, card or bank details, passwords, or keys. Send sensitive documents only through the provider’s verified secure channel.

Limits

  • WooCommerce Fulfillments behavior applies where that feature is present. Record the actual extension and version; do not infer a universal Completed or Fulfilled meaning across systems.
  • Payment state, application fulfillment and independent carrier evidence remain separate. A fulfillment plan does not guarantee dispatch or delivery.
  • No payment action, provider approval or legal conclusion follows from a partial shipment. Keep customer details, private tracking links, payment data and secrets out of the public inquiry.
