The application asks for volume but the bank shows net payouts

Use the provider's definition of the requested volume metric and calculate it from the matching payment activity. A bank deposit records money received after the payout's included movements; it is not automatically processed sales for that calendar period. Keep gross payments, refunds or adjustments, fees and net payouts separate. If the field's definition or the underlying payment records are missing, disclose that gap instead of using deposits as a substitute sales figure.

Define the application field before choosing a report

Copy the field label and any instructions into your preparation notes. Establish whether the provider wants historical gross processed payments, activity net of refunds, a monthly average or a forecast. Those are different measurements even when the form uses the short label volume. Do not decide which one it means from the bank statement available to you.

Match the requested legal entity, account, payment methods, date range and currency. Clarify the treatment of refunds, disputes, shipping and tax where the request leaves it unstated. A provider's definition governs the application answer; a reporting field with a similar name is useful only after its contents match that definition. If the field remains ambiguous, ask the requesting provider to define it before submitting a number.

Read gross activity in the correct part of the ledger

Stripe's balance summary report separates gross, fee and net activity for a selected period in the settlement currency and permits itemized exports. That makes it useful for identifying the components behind a figure. It does not mean every gross line in the report is a sale. Select the payment activity that matches the application definition and keep other movements separately classified.

Preserve the report filters, reporting dates and currency with your calculation. If the application requests a different currency basis or transaction-date window, identify that mismatch instead of relabeling the export. Keep multiple currency totals separate unless the provider specifies an accepted conversion method. An itemized record should let an authorized reviewer trace the included activity without relying on a manually typed total alone.

A bank statement can corroborate the deposit the bank received. It cannot, by itself, identify every customer payment, deduction or reporting-period boundary behind that deposit. Use it as the endpoint of the comparison, not the starting definition of processed volume.

Build the bridge without turning every movement into sales

On the working sheet, show the selected gross payment activity, then refunds or other adjustments and fees as separate components with the source's recorded signs. Where the application's metric deducts a component, document that treatment. Where it does not, keep the component in the payout explanation without silently subtracting it from the application answer.

Stripe says a payout moves funds from the available balance to the bank and can combine multiple transactions. The payout object does not itself list those transactions. Its balance summary report also does not associate payouts with payments. A period-level net activity figure therefore needs a separate payout comparison; gross payments minus a guessed fee percentage is not a reliable way to reconstruct either figure.

Compare the provider's payout records and the underlying movements available for those payouts with the bank receipts. Keep payment activity dates, payout dates and bank receipt dates visible. A payout in the requested period may represent a different set of activity from the payments counted in that period. With manual Stripe payouts, Stripe does not match the payout to transactions; preserve the business's own reconciliation rather than claiming provider-level matching that is unavailable.

If the bridge does not fully reconcile, list the specific unmatched references or missing date coverage. Do not add an unexplained balancing amount or adjust the sales figure until it equals cash received. The remaining difference is an investigation item, not another category of processing volume.

Make the submitted figure reproducible

Keep a short calculation note beside the original reports: the requested metric, the selected population, the period and currency, each included or excluded component, and the resulting figure. When the form requests an average, preserve the period and denominator used under its instructions. Do not convert incomplete historical coverage into an implied full period of trading.

If you have only bank deposits, say that net receipts are available while the requested processed-sales measure remains unverified. Ask whether the provider will consider an alternative record and retain its answer. That preserves the distinction between a real cash record and a historical volume claim you cannot yet support.

Volume-to-payout bridge

Choose one application field and its requested period. Use references to original reports and record the definition before calculating. The application figure comes from the agreed metric; the payout bridge explains why it differs from cash receipts. Leave unsupported figures unknown and retain each currency separately.
