Organize processing statements for the request you received
Use the period, the account, and the legal entity written in the provider's request. Include a record only when it matches those three, keep the original file unchanged, and write missing for any month or account the request names and you do not have. Stripe's balance report and payout reconciliation report are two different Stripe exports, not a universal statement format. No page opened for this guide states a number of months that every provider requires. Prism's public form is not a place to upload statement files. Describe the work you need. Prism will confirm scope, responsibilities, fees, and terms before work begins.

The request defines the set
A history request is complete only against its own words. Read the start date, the end date, the account or merchant name, and the legal entity. A record outside that period, for a different brand, or for a different processor answers a different question. If the request does not name a period, ask for the period in writing before you assemble a stack.
There is no universal month count in the Stripe reporting documents or Prism's public pages checked for this guide. Do not add months because a sample application asked for them, and do not drop a month inside the requested period because the sales were small.
A Stripe export is not every provider's statement
If the history is Stripe, choose the report that matches the question. Stripe's balance summary report covers a selected date range in the settlement currency and exports an itemized transaction history. Stripe says that report does not associate payouts with payment transactions. The payout reconciliation report matches automatic payouts to the batches they settle and can include transactions from before the report's start date. Stripe says that report is for automatic payouts, and that you reconcile instant payouts yourself because Stripe cannot tell which transactions they include. Manual payouts are also outside that report unless Stripe's stated platform exception applies.
If the history is another provider, use that provider's statement names. Do not retitle a monthly statement as a Stripe balance report, and do not merge two processors into one file. An acquirer statement, a gateway invoice, and a bank deposit can refer to the same sales and still be different records. The request tells you which of them it asked for.
Missing periods stay missing
List every month or payout the request covers. Mark each one found, found but for a different entity, or missing. A missing file is a fact. Recreating it from memory, from a spreadsheet, or from a partial export changes the record. Add a note beside the original if you need to explain a gap. Do not edit the original.
Stripe says report data for a day is normally available by noon the next day, and that some payout reconciliation reports take longer. A recent period that the report does not offer yet is not the same as a lost month. Say which one it is.
Processing history that does not exist is also an honest entry. A new business should say there are no prior processing statements. Do not borrow another company's statements, and do not present a store sales export as a processor statement.
Where the file should go
You can decide which files match the written request and which gaps to disclose. You cannot decide that the set is sufficient. Sufficiency is the provider's response after it sees the files through the channel it specifies.
Prism's contact form asks for a message about the website, the products, and the question. It says to leave out payment card details, passwords, and customer records. It is not a file upload for processing statements or bank records. Ask, after a scope is agreed, how any later document exchange would work. Until then, do not put statement files or full account numbers in the public form.
Whether the provider will accept a CSV instead of a PDF, and whether it wants reserves explained, is unknown until that provider says so. Cost analysis of the same statements is a different worksheet.
