Choosing the right report for a balance or payout question

Use the balance report when the question is how the Stripe balance changed during a selected period. Use payout reconciliation when the question is which transactions belong to an automatic payout. Those reports select different populations: a payout batch can contain earlier transactions, while a balance report does not match payments to payouts. Confirm the payout type before choosing the batch report; instant payouts require the business’s own reconciliation. For another provider, use its report definitions.

Write the question before choosing the export

An opening-to-closing balance question asks about movements inside a defined account, currency, and period. A payout-composition question asks which transactions made up a named transfer. Write that distinction at the top of the working record before downloading or comparing totals. The amount that first drew attention to the problem does not decide the report.

If the concern is whether the bank received a payout, neither transaction population alone establishes bank receipt. Keep the provider payout record and the bank posting as separate evidence. Report selection can identify the records to reconcile, but it cannot diagnose why an expected deposit is absent.

Choose the balance report for a period bridge

Stripe’s balance summary report reconciles a selected period in the settlement currency and offers itemized transactions. Its activity summary separates gross, fee, and net amounts. This is the useful starting point for explaining the provider balance’s movement over that period, including activity other than the store’s sales.

Retain the selected account, currency, start and end, and the report’s date basis and time-zone setting where shown. Those settings define the population you are adding. A comparison that uses a different currency or window can produce a difference without an incorrect transaction.

The report does not associate payouts with individual payment transactions. A payout appearing during the balance period therefore does not establish that all payments created in that period funded it. If identifying the payment batch is the real task, change the question and use the report designed for that task instead of inferring a batch from dates.

Choose payout reconciliation for an automatic batch

Stripe’s payout reconciliation report matches automatic payouts to their transaction batches. A batch may include transactions from before the selected report period. Keep the automatic payout reference as the link between the payout amount and its included transactions; retain transaction dates rather than discarding earlier rows to make the batch resemble a calendar sales total.

Check the payout type in the actual record. Stripe says the business reconciles instant payouts because Stripe cannot identify their included transactions. Do not describe an instant payout as an automatic batch or treat a missing batch match as evidence that a payment disappeared. For other payout types, establish that the selected report supports that type before relying on its matching.

The report includes expected bank arrival dates and failed automatic payouts where they exist. An expected date is still a provider expectation, not a posted bank credit. If you use those fields, preserve their labels and compare them with the bank record separately.

Use disagreement to identify a scope mismatch

When the two reports disagree, first compare what each includes. Mark rows that belong to an automatic payout but precede the balance period, and period movements that have no place in that payout’s batch. Do not delete these rows or add a balancing amount. The reports need not have identical totals to be internally consistent.

Then check whether the relevant data is ready. Stripe says daily payout-reconciliation data is normally available by noon the following day, with exceptions. Record any readiness information shown for the export; an incomplete range cannot establish that an expected transaction is missing. This general reporting description is not a completion deadline for your account.

End with a named choice: period balance report, automatic payout batch report, or a separately documented reconciliation because the payout type is not covered. A remaining question should identify the selected report, scope, and unmatched reference. Keep raw customer and bank records out of the public form. The provider retains account and payout decisions.
