Registered address and operating address are different
Use the actual location that answers the provider's requested address type. Keep the address on the registration record, the place where business activity occurs and the mailing destination separate until the field instructions show which one is required. Stripe's US account requirements do not accept a PO Box for the address where most business activity occurs. A mailing address or a document accepted for a particular verification task does not, by itself, establish the operating location. Resolve a mismatch by identifying the field's purpose and the relevant document rule, not by changing the business story to make addresses match.

Copy the exact field label, help text and any rejection message into an internal note. A request for a registered address, a mailing address and a place of business can ask different questions. The word address alone is insufficient when your records contain several locations. Do not choose whichever address appears most often on your paperwork.
For this comparison, the registered location is the address recorded for the entity in the relevant registration record. The operating location describes where the requested business activity actually occurs. The mailing location describes where correspondence is received. One place can serve several purposes, but record that because it is true, not because the form is easier to complete that way. These working distinctions do not replace the provider's definitions or a jurisdiction's registration rules.
If the provider asks where most activity occurs and you have several operating locations, organize what happens at each location. A fulfillment location, administrative office and mailing service should retain their actual functions. If the provider has not explained how its field applies to that arrangement, the open question is the field's interpretation, not which real location to conceal.
Keep the US Stripe rule within its scope
Stripe's US account requirements identify the address where most business activity is carried out and say a PO Box is not accepted for that address. That is a rule for US Stripe accounts. It is not a universal address rule for every provider, and it does not establish that a research-only business is eligible for Stripe.
A registration record and a mailing arrangement answer different questions from evidence of business activity. If the address on a document is a correspondence destination, label that role accurately. Do not substitute a mailbox for the place where the requested activity happens, or describe a supplier's premises as your own office without that being the actual arrangement.
When the account and registration document differ, first determine whether they purport to describe the same address type and period. A genuine move, an outdated account entry and two different address purposes call for different corrections. Keep the reason visible; matching strings alone would hide it.
Check the document requirement separately
Stripe's acceptable-verification-documents guidance has country-specific requirements. In the US entity-document rules, name and tax ID must match account information, and some named letters have explicit address exceptions. Treat an exception as applying only to the document and requirement Stripe lists. It is not general permission to enter an inaccurate operating address or to omit an address wherever a form asks for one.
Compare the exact requested document category with the record you hold and the Dashboard rejection reason. An exception cannot be inferred merely because the file is an official letter. The document's acceptability and the truth of the address field are two checks. If the document cannot satisfy the stated request, record that gap rather than altering the document or describing it as a different record.
Perform full address and identifier comparisons inside authorized business records. Keep this worksheet to purpose, match status and document references. Stripe directs sensitive verification uploads through its Dashboard, not email or a PRISM inquiry. Where the document is unavailable or the rejection cannot be resolved from the stated requirement, use Stripe support to clarify that specific missing item.
Choose the correction that preserves the real arrangement
If the field clearly asks for an operating address and the entered value is only for mail, the correction is to report the actual requested location through the provider's authorized update process. If the field is accurate but the supporting record concerns another purpose, identify the document requirement still unmet. If both refer to the same purpose but one is outdated, record the change date and determine which record needs updating. If the label remains ambiguous, keep the field unresolved until the provider identifies its intended meaning.
Before treating the issue as closed, retain the submitted field version and the provider's resulting response or remaining verification request. A successful submission alone does not show that verification is complete. The provider decides document acceptance, eligibility and account terms.
