An assigned fulfillment may be controlled by the service

Open the actual order’s fulfillment assignment before trying to change its status. Shopify says a merchant cannot manually mark an order assigned to a third-party fulfillment service as fulfilled or in progress; the assigned service controls that status. Record the service, the affected items and the latest service record, then direct the specific unresolved action to that service. A storefront label or internal note does not establish that the service dispatched the parcel.

Find the assignment on the affected fulfillment

The store’s general fulfillment arrangement is not enough to identify who controls this order. Inspect the affected order and its fulfillment details. Record the service actually assigned, the items and quantities under discussion, and any service reference available. The relevant question is who controls this fulfillment now, not which warehouse usually ships the business’s orders.

Keep the store order reference and the service’s reference separate, and record whether they can be matched. Where the records divide work across items, identify the affected items rather than applying one service’s reply to the entire order. A vendor name remembered by support does not establish an assignment. If the assignment or reference cannot be found, mark it unconfirmed and ask the store administrator to locate the record before promising an action.

Understand why the manual status action is unavailable

Shopify’s individual-fulfillment guidance states that an order assigned to a third-party fulfillment service cannot be manually marked fulfilled or in progress by the merchant. The service controls its status. For an order with that assignment, the absence of the merchant’s manual action is consistent with the documented workflow; it is not, by itself, evidence of a broken admin screen or failed payment.

This rule is tied to the assignment. Do not apply it to every order merely because a third-party service is installed on the store. Compare the actual assignment with the action someone is attempting. If they match the documented restriction, the next step is to establish the service’s current record and the action it can take, rather than repeatedly trying to relabel the order.

Do not remove an assignment, create a second fulfillment or send a replacement just to obtain a status that looks complete. Before any proposed change of responsibility, establish what the original service has already done and what its documented workflow permits. An unavailable button supplies no evidence that work has stopped at the service.

Separate the service status, a hold and a carrier event

Shopify also states that a fulfillment on hold cannot be marked fulfilled until the hold is released. Record any displayed hold separately from the third-party assignment. These are different facts: the assignment identifies the service controlling the work, while a hold identifies a condition preventing fulfillment. Identify who may resolve that actual hold under the applicable workflow; do not infer that the merchant may release every service-controlled condition.

Where tracking is present, Shopify says delivery status comes from the carrier. A carrier event answers a different question from the service’s fulfillment status. Compare the latest service update and the carrier event with their own timestamps. If they disagree, preserve both rather than editing a label to hide the difference.

The buyer-facing statement must follow the evidence. A fulfillment request or service assignment alone does not establish dispatch. A tracking reference without an event establishing carrier movement should not be described as proof that the parcel is moving. Record the specific confirmed stage and what is still awaiting confirmation.

Send the service a question it can resolve

The follow-up should identify the matched order and service references through the authorized support channel, the affected items, the status and observation time, and the action the merchant needs explained. Ask the service to confirm its current stage, whether a documented block exists and which action is available next. Do not ask it merely to make a label say fulfilled without evidence of the underlying work.

Assign a merchant owner to receive the response and update the buyer. The service’s authority over its fulfillment status does not remove the merchant’s responsibility to manage its own customer communication. Set a follow-up time from the actual support commitment or internal schedule; do not turn that check-in into a promised dispatch date.

After a service reply, compare the service’s action with the same Shopify fulfillment record. Close a status question when the records explain the actual stage or show the authorized change, and keep any separate delivery issue open. Limits

  • The manual-action restriction described here applies to Shopify orders actually assigned to a third-party fulfillment service. Another platform or unassigned fulfillment needs its own documented workflow.
  • A status restriction does not prove shipment, payment, cancellation or eligibility. A service’s response and the carrier’s delivery record must be interpreted within their own scope.
  • Do not place customer addresses, payment details, credentials or private tracking URLs in the worksheet or public consultation inquiry.
