Who owns the issue

Send the facts to the vendor whose contract and documentation cover the system that produced the record. WooCommerce's core documentation directs questions about the free plugin to the WordPress.org community forums, third-party shipping methods to that extension's developer, and customization work to a separate agency relationship. Its email guide points a sent-but-not-received message to the host or the mail service that actually sends. Shopify says a fulfillment service controls the status of an order assigned to it, so the merchant cannot manually mark that order fulfilled. A Stripe PaymentIntent status is Stripe's record of that payment, not a theme setting. If you cannot name the contract, the owner is unknown. Do not pick the vendor who answered last. Start from the record, not from the loudest inbox

Write the symptom in one sentence, then write the record you already have: a checkout observation, a shipping-rule comparison, an email log outcome, an order status, a payment status, or a fulfillment reference. The vendor who should receive it is the one whose system created that record.

A second vendor can be copied after the first has the facts. Sending every vendor the same paragraph at once produces overlapping answers and no owner. If two records disagree, send each vendor its own record. This page does not draw the technical map of how those systems are connected. It assigns the next conversation.

What the platform documents say they will not absorb

WooCommerce's shipping-zone document says the core plugin is supported in the WordPress.org community forums. A shipping method that does not appear, or that cannot be added, is likely a third-party extension or custom code, and the extension's developer is the contact. The same document points customization work to a Woo agency partner rather than to core support. Those are different doors.

WooCommerce's email troubleshooting guide says mail is sent through WordPress's mail function, and that a message can leave the server and still not be received. The From address and authentication then belong to the host or to the SMTP service the site uses. Order status is not the fix for a log that already says sent.

Shopify's fulfillment document says an order assigned to a third-party fulfillment service cannot be manually marked fulfilled or in progress by the merchant. The service accepts or declines and controls the status. Stripe's PaymentIntent lifecycle is the source for a Stripe payment's requires_action, processing, or succeeded state. The store theme does not contain that status. Another payment provider needs its own current document.

Write the handoff so the next vendor can start

The message names the store, the time, the record, and the question. It does not include a card number, a password, a customer list, or a guess about a vendor you have not identified. It also does not ask the host to explain a payment status, or the payment provider to explain a theme layout.

Your escalation path is the path in that vendor's contract. This page cannot know the phone number, the plan, or the hours. If the contract is not in front of you, write unknown and stop. Guessing a vendor creates a second incident.

Confirm responsibilities before work
