Refund, reversal, or dispute: name the event before you act
Read the status on the store order and the status on the payment, and use the name in that system's documentation. In WooCommerce, marking an order refunded does not itself return the money, and a manual refund records the refund without sending it through the gateway. At Stripe, canceling an uncaptured payment is not a refund, a refund after success can appear on the statement as a reversal instead of a separate credit, and a dispute starts when the account owner contacts their bank. An inquiry and an early fraud warning are earlier notices, not the same object. This page names the event. It does not issue the refund or answer the dispute. The same word is doing several jobs
"Refund" on a store order, "refund" in a payment account, "reversal" on a card statement, and "dispute" from a bank are not one process. Acting on the wrong one can return money twice or leave a bank claim unanswered while the store already says refunded.
This page classifies the event. It is not the page for carrying out the store refund, and it is not the page for assembling dispute evidence or for deciding which company, host, or warehouse owns a broader support issue. Those handoffs come after you know which record is open.
A store refund is a record in the store
WooCommerce's refund documentation says an automatic refund returns money through the payment method when the gateway supports it, and that the order notes usually include a successfully-refunded message when that happens. A manual refund changes the store record and does not return the money. You still have to return it in the payment account or by another transfer. Changing the order status to Cancelled or Refunded, by itself, does not refund the customer.
The order-status page says Refunded means an admin fully refunded the order's value after payment. If the full value is not refunded, the status does not become Refunded, and the email refers to a partial refund. A store status of Refunded can therefore exist while the gateway has not moved the money, and a partial gateway refund can exist while the store status stays where it was.
The next owner for a store record is the person who can open that order and the gateway notes. The next owner for the money is the person who can open the payment account. They are the same person only when your business has assigned both jobs to them.
Stripe separates a cancellation, a refund, and a reversal
Stripe's refund page says you can cancel a payment before it is completed, and that a refund is what you use after the payment succeeds. If the PaymentIntent status is requires_capture, the charge is still uncaptured and is not refunded. You cancel the PaymentIntent. A succeeded PaymentIntent cannot be canceled. Stripe says a cancellation before completion is at no cost, and that a refund after success might incur a fee. This page does not restate a fee amount. The amount is Stripe's, not Prism's, and it is not another provider's price.
The same page says some refunds issued shortly after the charge appear as a reversal. The original charge drops off the customer's statement, and a separate credit is not issued. In the API, that refund is identified when the card destination type is reversal. A customer who says the charge vanished, rather than that a credit appeared, may be describing that form. It is still a refund your business initiated, not a dispute the bank filed.
Stripe says a refund can go only to the original payment method. It also says you cannot issue a refund outside the dispute process while a dispute is open. If both a refund and a dispute appear on one payment, the open dispute is the event that limits the refund. The owner is the person who can see that payment in the provider account.
A dispute is the account owner's bank, not your refund button
Stripe's dispute page says a dispute occurs when an account owner contacts their bank to contest a payment. Stripe notifies the business, debits the disputed amount plus a dispute fee, and says the bank decides the outcome. The fee amount is on Stripe's pricing page and is not repeated here. While the dispute is open, evidence is what the business submits if it does not accept the claim. This page does not choose acceptance or a response, and it does not describe the documents.
An inquiry, in that documentation, is a preliminary request some networks use before a formal dispute. Stripe says American Express and Discover often use it, and that Mastercard and Visa no longer use that phase, with a stated exception for Mexico domestic charges. Stripe says an inquiry can be resolved without a dispute fee by evidence or a full refund, and that leaving it unanswered can let it become a dispute. An early fraud warning is a network fraud report. Stripe says it does not itself require a response and is not the dispute.
Stripe says card networks typically allow a dispute within 120 days of the payment, with more time in some cases, and that the business's response window is usually 7 to 21 days depending on the network. Local payment methods such as Klarna and PayPal use their own processes. Those figures are Stripe's description of card disputes. They are not a deadline this page sets, and they are not a reason to skip the date printed on the dispute in your account. The owner of a dispute is the person who will meet that printed date. The owner of a store refund is not automatically that person.
What you can name, and what you still cannot decide
You can write which system shows which status, whether money has moved, and which person will open that system. You can refuse to treat a WooCommerce Refunded label as a bank credit until the gateway note or the payment account says the credit exists.
You cannot decide the bank's outcome, the amount of a provider fee, or the rule at a provider whose documentation you have not opened. Leave that provider's row blank.
