Preparing clear refund and cancellation information for a processing review

They do only when a buyer can find the policy before payment and the policy states the steps your business can perform: what can be cancelled before capture, how a refund is returned after payment, and what happens after the goods leave your control. On WooCommerce, changing an order to Cancelled or Refunded does not itself return the money. An automatic refund through a compatible gateway uses the original payment method. A manual refund records the refund in WooCommerce and still requires the money to be returned outside that button. Stripe's refund documentation says a Stripe refund can go back only to the original payment method. Those are descriptions of those products. They are not a policy you can copy, not a legal finding that your policy is adequate, and not a processing approval.

Accuracy is the procedure you can perform

Read the refund and cancellation text that is public now, including text at checkout. Next to each condition, write the step your staff can take and the record that shows it happened. If the policy says the business does something it cannot do, or omits a condition the business always applies, the policy is not yet an accurate account of the procedure.

This page does not supply a policy template and does not say that any refund window is legally required. Prism's features page includes returns and other customer-facing policies, and differences between those policies and checkout, in an informational review. The review is not a legal opinion or a compliance certification. Qualified counsel is the place for whether a policy meets an obligation that applies to the business. The shipping-time comparison is a different job from the refund procedure.

Separate the moment of cancellation from the moment of refund

Stripe's refund documentation says you can cancel a payment before it is completed, and that an uncaptured PaymentIntent is not refunded as a charge. Cancellation is available through the API for specified incomplete statuses, and a succeeded PaymentIntent cannot be cancelled. After a successful charge, Stripe says you can refund all or part of it, but not more than the original amount, and the refund goes back to the original payment method. You cannot send it to a different card or bank account. The provider’s refund status and the bank’s posting are separate records. Check the current documentation and the actual refund for the method used; some refunds can appear as a reversal rather than a separate credit. Do not promise when the buyer will see the change.

A policy can state the stage your business will cancel and the stage it will refund only if those are the stages you can perform on the payment method you use. A promise that money will reappear on a chosen day, or on a different card, is not supported by the Stripe page. If you do not use Stripe, do not copy Stripe's timing into the policy. Ask that payment provider what its refund does, and leave the timing blank until you have its answer.

A store status is not the same event as money returned

WooCommerce's refund documentation says an automatic refund, available when the buyer paid through a compatible gateway, returns the money through the same payment method and can set the order to Refunded when the full value is refunded. A partial refund does not change the status to Refunded, and the email refers to a partial refund. A manual refund records the order as refunded in WooCommerce and does not return the money through the gateway. WooCommerce also says that directly changing an order's status to Cancelled or Refunded does not automatically refund the buyer.

WooCommerce's order-status page says a Cancelled order returns stock to inventory when inventory management is enabled, and that a cancelled order may still need a refund. It also says a manual refund can put an order in Refunded status without the buyer's funds having been returned. Use those distinctions when you read your own orders. A status your store can click is not, by itself, the procedure the policy should describe.

The buyer has to be able to find the same text the business follows

Stripe's dispute-prevention page says to include a clear description of refund and cancellation policies in the terms of service, and to make the policies easy to find. It says card issuers can be specific about presentation: a checkbox that contains only a link may be rejected as evidence that the buyer saw the policy, and Stripe's example of stronger evidence is presenting the full policy before the order is submitted. That is Stripe's description of dispute evidence for Stripe users. It does not say a card issuer will accept your page, and it does not say your text is legally adequate.

You can decide whether the public page, the checkout text, and the steps your staff follow are the same. You cannot decide how a future dispute will end, and you cannot decide that a provider requires a particular refund rule. Bring the policy URL and the procedure you can perform if you want a storefront review. Scope, fees, and terms are discussed before work. Do not send card details, passwords, or customer records through the public form. An inquiry is not a processing application.
