Connect an existing order to the policy record from that time
Only to the extent that retained records connect the order time, the published policy text and the checkout presentation. Today's policy URL cannot establish what appeared there earlier. Preserve any dated policy copy, publication record and order-specific association without changing the originals. State whether the evidence directly identifies a version, supports only a likely publication interval, or leaves the version unknown. That evidence can guide a factual support response; it does not decide disputed legal effect or prove the buyer read and accepted the wording.

Fix the order time before choosing the policy copy
Start with the existing order reference and the time the store recorded the relevant acceptance step. If order creation, payment and confirmation have different times, retain those distinctions instead of choosing whichever one fits the current policy. Record the time zone and the source of each timestamp. Where the business's acceptance point is disputed, preserve the sequence and leave the legal interpretation open.
Then locate records that already exist: a saved policy document, website revision or release record, a retained checkout capture, or a message containing the policy text. Record where each copy came from and when it was captured. A capture made today documents today's content. A date printed within a policy is a claim about its version or effective date; by itself it does not demonstrate when the site began showing that text.
Keep text, publication and order association separate
A preserved document can establish what that copy says. A publication record can help establish when it was put online. An order record that names a policy version can establish the association the store recorded. These are different links in the evidence chain. A policy file with a suitable date but no publication record cannot, on its own, show that visitors saw it.
Compare the policy page with any retained checkout wording or order communication from the relevant time. Record whether checkout displayed text, linked to a URL or stored a version reference. A link to an address whose content later changed does not freeze the earlier wording. An acknowledgment entry without a recoverable text version leaves a gap about what was acknowledged. Even a clear version association does not by itself prove the buyer read the text.
Use precise descriptions of confidence. Direct association means the order record points to an identifiable retained version. Interval evidence means publication records bracket the order time but the order does not identify its own version. Conflicting copies, missing timestamps or an unverified publication interval should remain unresolved. These are working evidence categories for your team, not legal standards.
Respond from the history you can actually support
Keep the current policy in a separate comparison field. Identify which relevant sentences changed, using the full retained context so an exception is not lost. Do not attach the current copy to the old order as if it were the original, backdate a new document, or replace historical evidence with corrected wording. A later note should show when it was added and which earlier record it describes.
The FTC's truth-in-advertising guidance provides a general expectation that website claims be truthful, nonmisleading and substantiated. It does not prescribe this worksheet, a policy-retention period or the contractual result for an old order. Use the record to avoid telling a customer that a policy applied when the team cannot substantiate that statement.
If the earlier wording is missing, report the missing link in the evidence chain. The absence of a policy copy is not proof that no policy existed. Conflicting evidence about a refund, shipping commitment or other obligation belongs in the case summary for qualified counsel, rather than being resolved by silently choosing the newest text.
Preserve a retrievable association for the next handoff
For future policy changes, designate an owner to preserve the approved text, its version label, the actual publication record and the checkout presentation that accompanied it. Ask the person maintaining the store what version association the installed system can retain. Do not claim historical tracking is active until its records can be retrieved; this guide does not assume that any platform supplies it automatically.

Policy-version association
Use one sheet for an existing order and one policy question. Enter internal references in your private working copy, not customer details. Classify the association as direct, interval-supported or unresolved, then record the missing evidence rather than selecting the current policy by default.
