Reconcile a payout that has no provider-assigned sales batch

Reconcile the account's balance movements and the payout as a withdrawal, then document any sales allocation as your own method. Stripe does not match manual payouts to transactions, and its payout reconciliation report says the merchant reconciles instant payouts because Stripe cannot identify their underlying transactions. A matching date or amount therefore does not prove a particular group of sales funded the payout. You can reconcile the balance and bank receipt while leaving the sale-to-payout allocation unresolved.

Identify the payout type before choosing the report

Read the payout reference, account, currency, amount, status and type from the provider record. Stripe describes a payout as funds sent from the available balance to the bank; it can involve funds from multiple transactions. The payout object itself does not list the underlying transactions. An amount on that object is therefore not a list of order references.

Stripe's payout reconciliation report matches automatic payouts to settlement batches. Manual payouts lack Stripe's transaction matching, and instant payouts require merchant reconciliation. Do not treat the absence of an automatic batch for those payouts as evidence that orders disappeared. First confirm that the payout type is one for which that report would supply a batch.

Reconcile the balance without inventing a sales batch

Select one provider account, currency, period and balance definition. Keep the opening and closing figures on the same basis and retain the underlying movement records. Stripe says every funds movement creates a balance transaction. Use those records to explain the change, including the payout withdrawal, rather than treating every positive movement as a sale or every negative movement as a processing fee.

The comparison is opening balance plus the signed movements for that same balance and period against closing balance. Use each movement once. If an export already includes a payout debit, do not subtract the payout again in a separate worksheet line. If the report uses available balance, preserve the records explaining movements into or out of availability; do not substitute a total balance that includes a different set of funds.

A closed balance comparison establishes that the selected movements explain the change in that balance. It does not establish which individual sales are inside a manual or instant payout. When the balance does not reconcile, identify the missing movement, date boundary or classification you still need. Keep the difference explicit instead of creating an adjustment solely to make the totals agree.

Label any allocation as a business method

If internal reporting requires sales to be associated with the payout, have the responsible finance owner document the method before applying it. State the eligible movement set, the date basis, how amounts are assigned, how prior assignments are excluded and how a remaining balance is carried forward. Retain the movement references behind every assigned amount so the same funds are not assigned repeatedly across payouts.

Keep that allocation separate from the original provider records and identify it as a business-prepared association. Even if its total equals the payout exactly, arithmetic agreement does not turn the method into Stripe's transaction matching. A payout date does not establish the dates of the sales it represents; an equal sales total does not establish their inclusion either.

If the available records cannot support a consistent method, stop at balance reconciliation and mark the allocation unresolved. A reviewer should be able to tell whether the unresolved question concerns the balance, the bank credit or the internal attribution to sales. Those are different gaps, and one completed comparison need not pretend to close the others.

Check the bank leg and state what is finished

Compare the provider payout with the actual bank credit using the available reference, amount and currency. Keep the provider's recorded payout status and the bank's posted record as separate evidence. If the bank reference is absent or the amount differs, record the unmatched item; do not select a nearby deposit merely because it would close the sheet. Stripe's report can show expected arrival dates for automatic payouts, but an expected date is not proof of a bank posting and does not supply a sales allocation for a manual payout.

Close the worksheet by recording separately whether the balance reconciles, whether the bank leg matches and whether any sales attribution is provider-supplied, internally allocated or unresolved. Complete this for one actual payout and its stated account, currency and balance period. Report balance reconciliation, bank matching and sales allocation as separate outcomes. Leave an allocation unresolved when the evidence supports only the first two.
