Keep a still-listed product clear about whether it can be ordered

State whether the specific product or selected variation can be ordered now, then make its stock message, price presentation and buying controls agree with that state. No stock does not necessarily mean no orders: WooCommerce can allow backorders below zero stock. A temporarily unavailable listing should clearly say that orders are unavailable; an orderable backorder needs an accurate explanation of the wait. A disabled variation needs its own status, and a permanently retired product needs a retirement decision. Publish a restock date only when the business has a real basis and commitment for it.

For: A research-only merchant keeping product pages visible while stock, backorder permission or variation availability changes.

Establish the state of the selected item

Begin with the product URL and the exact variation a visitor can select. Compare the visible availability message with the inventory record, backorder setting and enabled buying controls for that selection. A parent product can contain options with different availability. A general message above the selector can therefore describe the parent while the visitor is looking at an unavailable option.

Keep four outcomes separate in your notes: temporarily unavailable and not accepting orders; out of stock but accepting backorders; an option disabled from purchase; and a product the business has stopped selling permanently. Choose the outcome from the actual catalog and operating decision. A supplier forecast alone does not establish that the store is accepting orders, and a published price alone does not prove that buying is enabled.

WooCommerce visibility and stock are separate controls

WooCommerce documents that stock management can track quantities, while a product without quantity management uses a stock status. Its inventory settings also control stock display and out-of-stock visibility. Read the applicable product and variation settings before interpreting an availability badge as a live count of goods on hand.

The variable-product documentation says allowing backorders lets stock go below zero, and an out-of-stock hiding setting does not hide a variation that allows backorders. Consequently, hiding unavailable items in the catalog is not evidence that every remaining variation is in stock. Check the selected option on the product page as well as the collection card. These are WooCommerce behaviors; another platform or availability extension needs its own documented behavior.

If inventory records mention a stock hold, preserve the order state that explains it. WooCommerce documents that its Hold stock setting applies to Pending payment orders, not On hold orders. That distinction can help identify the record to investigate, but it does not establish the cause of an unavailable listing or supply a public restock time.

Align the message with the action the visitor can take

For a temporarily unavailable item, put the no-order status where the visitor chooses the item and encounters its price or buying control. If the price remains visible, make it clear that the displayed amount does not mean the item can currently be ordered. Compare the collection card, any quick-buy surface the store actually uses and the selected variation. Moving an item lower in a collection does not explain its availability to someone who opens its URL directly.

For a backorder that remains purchasable, say that the order is accepted ahead of stock availability and use the fulfillment explanation the business can actually support. Do not describe that state as a disabled product, and do not let an in-stock banner contradict it. For an unavailable variation beside available options, attach the status to the affected selection rather than implying that every option is unavailable.

When there is no supported restock date, leave out the date and communicate the current no-order or backorder state accurately. Record an internal date for checking the situation again; that is a review task, not a promise to customers. If the business has permanently stopped selling the item, use the retired-page review linked below instead of repeatedly extending a temporary message.

Resolve the contradiction and retain the dated observation

Complete the worksheet for each affected listing and give each contradiction a specific action: correct the badge, qualify a displayed price, correct the buying state, revise backorder wording or resolve an outdated collection message. Preserve the observed URL, selected option and date so that a later stock change is not confused with the state you reviewed. After an authorized correction, check the affected public surfaces again without placing an order just to inspect availability.

Prism’s published website-review scope includes product descriptions and marketing claims. A scoped consultation can use the affected URLs and your availability comparison to define the review question. It does not certify stock accuracy, decide legal sufficiency or guarantee payment-provider approval. Keep the research-only audience and actual catalog description consistent while correcting availability.

Listed-versus-purchasable comparison

Complete this for one real product URL and selected variation at a time. In the final column record the observed wording or state, supporting record, decision and owner. An unknown restock date stays unknown; the next internal review date is a separate entry.

Worksheet entries are not submitted by Prism’s worksheet and are not saved by the site. Use record types, availability, anonymized observations, or match/mismatch results. Do not enter government identifiers, customer names or addresses, customer messages, receipt-access links, card or bank details, passwords, or keys. Send sensitive documents only through the provider’s verified secure channel.

Limits

  • Backorder-enabled items may remain purchasable at zero or negative stock. Catalog visibility, inventory and purchasing permission are different facts.
  • Do not invent a restock date or change the catalog description to conceal what the business sells. WooCommerce settings do not establish eligibility or legal approval.
  • Keep private order records, payment details and credentials out of the worksheet and public consultation form.
