Inventory changes between cart and checkout

They can disagree because they are not the same record. On WooCommerce, with stock management enabled, the catalog can show a number or only a word, while stock is held for an unpaid order only after checkout reserves it. That hold applies while the order is Draft or Pending payment, for the Hold stock time, and the inventory setting says the hold does not apply to On hold. Processing means payment was received and stock has been reduced. On hold also has stock reduced, but payment still needs confirmation. A cart by itself is not that hold. With stock management off, WooCommerce stores a status rather than a count. Another order, an expired hold, or the display setting can change what the next screen shows. A separate inventory system is not described by these rules, so its timing stays unknown until that system's document is open. You can correct the WooCommerce setting you control. You cannot treat the catalog figure as a promise that checkout will still have the same units. Describe the work you need. Name the record before you compare the numbers

Write the product or variation identifier first. Then write where you read the stock: the public catalog, the product editor, the cart, a draft or pending order, or a processing or on-hold order. A disagreement among those places is the finding. Averaging them hides it.

This page is about those records. It is not a decision to take preorders, and it does not say what the business should do when stock is gone. If the store is not WooCommerce, do not copy these status names. The sheet still asks you to separate catalog, cart, hold, and order, but the meanings have to come from that platform's current document.

When WooCommerce holds stock and when it reduces it

Stock management is optional. When it is on, you enter quantities and WooCommerce subtracts them as sales are made or orders are returned. When it is off, a physical product can be marked in stock, out of stock, or on backorder, and the system does not keep a count.

Hold stock, in minutes, holds products for unpaid orders. When the limit is reached, the pending order is canceled and the held stock returns to available inventory. Leave the field blank to disable the hold. The setting applies to Pending payment, not to On hold. The order-status document adds the checkout timing: when stock management is on and checkout reaches the point where stock is reserved, the reservation uses that hold setting. Stock is held while the order is Draft or Pending payment, then released when the status changes or checkout cannot continue. A fresh block checkout does not create a draft order merely because someone opened the page.

Processing means payment has been received and stock has been reduced. The order is awaiting fulfillment. On hold means the order is awaiting payment confirmation. Stock is reduced, but you still need to confirm payment. Failed returns stock if it had been reduced. Cancelled returns line-item stock when inventory management is on. Those later states are not the catalog number the buyer saw before the order existed.

The catalog can hide the quantity you are comparing

Even with stock management off, the store can hide out-of-stock items from the catalog. With management on, the display format can always show the quantity, show it only when stock is low, or never show the amount. A page that says only that an item is in stock is obeying that format. It is not a second count.

Low-stock and out-of-stock notification emails are optional and go to the addresses you configure. They are not the number on the product page. Do not use a notification, or the absence of one, as the checkout quantity.

The inventory document says a backorder notification is sent only when stock management is on and the product allows backorders. That sentence does not say every product can be sold past zero, and it does not say the catalog and the checkout use the same wording. If you have not opened the product's own stock setting, write unknown.

What you can correct, and what stays unknown

You can turn stock management on if you intend to keep counts, set the hold minutes to the window you actually want, and choose a display format that does not conceal a quantity you need staff to see. You can stop promising a catalog number that a pending order is already holding. You cannot know, from WooCommerce's core settings, how often a separate inventory or sync tool writes this product. Until that tool's current document is open, the sync explanation stays unconfirmed.
