A completed SS-4 records an application for an EIN; it is not the IRS confirmation that the identifier was issued. Stripe’s US verification guidance expressly distinguishes a submitted SS-4 application from an IRS confirmation letter. Read the rejection reason and identify the document actually requested, then locate the IRS-issued confirmation for the relevant entity. Compare names and identifier details privately with the account before uploading through the provider’s verified channel. Submission of an application, or a filename calling it a confirmation, does not change the document’s function.

Identify who completed the file and what it establishes
Open the document itself, not just its filename. Distinguish a form the business filled out and submitted from a letter the IRS issued in response. An IRS-branded blank form can become the business’s application when completed; the branding alone does not turn the answers into an IRS confirmation. A submission receipt, if present, records submission rather than proving what identifier the IRS issued.
The practical distinction is between evidence of a request and evidence of its outcome. Record the document title, who supplied its content, and whether it states that an EIN has been assigned. If you cannot determine which document you have, keep the type unresolved. Do not relabel an application, edit its heading, or merge it with another file to make it look like the requested confirmation.
Compare the legal name without choosing a tax classification
The IRS Instructions for Form SS-4, revised December 2025, distinguish the legal-name field from the trade-name field. Line 1 uses the legal name from the applicable legal record; for a sole proprietor, it uses the individual’s name. Line 2 is the trade or doing-business-as name. Use those distinctions to understand an existing application rather than assuming that the public storefront brand must be the legal name on the confirmation.
Stripe’s US entity-verification guidance requires the relevant name and tax ID to match the account information. Compare the confirmation and account privately, preserving the distinction between a brand and its entity. In the worksheet, record match, mismatch, or not yet checked and a safe document reference, not the EIN or a personal identifier.
A mismatch is a separate issue from uploading the wrong kind of file. Getting a clearer copy of an application does not fix its document type, and locating a confirmation for a different entity does not establish a match. Do not change entity type or choose an EIN versus SSN verification path merely to make an upload pass. The provider’s request and the business’s actual records govern that question.
Let the rejection reason determine the next correction
Read the current Dashboard request and rejection reason together. If the issue is an application supplied instead of confirmation, look in the business’s retained IRS correspondence for the requested confirmation. If the required document is unavailable or its acceptability is unclear, ask Stripe support which evidence its request requires and how to proceed. Do not repeatedly upload the unchanged application or assume another provider accepts the same documents.
Document quality is another independent check. Stripe’s common guidance calls for readable, complete documents and distinguishes original scans or photos from screenshots or processed files. It also identifies address exceptions for some US letters. Use the instructions for the actual document and rejection; do not invent an address rule for every letter or edit an official record to force a match.
An unavailable confirmation is an unresolved evidence dependency. It does not justify creating one, treating an application receipt as issuance, or applying for another EIN solely because an upload failed. This guide does not determine tax status or provide an IRS replacement-letter procedure.
Submit through the right channel and retain a small receipt
For Stripe verification, upload sensitive documents through the Dashboard, not email or a Prism inquiry. Keep an internal record of the document type, submission time, destination, and the provider’s actual response. Upload completed and accepted are different states. Until the provider responds, describe the submission as awaiting review rather than verified.
