A negative balance remains when the business wants to leave
Start with a dated balance for the exact account and currency. Trace the entries that produced the amount owed, separate posted movements from unresolved adjustments, and establish the provider's documented settlement route before initiating closure. Stripe's owner-close guidance says an existing balance blocks that flow and a negative balance must be brought to zero. That condition does not erase liability, settle an open dispute or describe how a provider-imposed termination works.

A merchant choosing to close an account is using a different process from receiving a provider's termination notice. Record whether the business is requesting closure, has already received a termination notice, or is only disabling new payments on the storefront. Do not interpret a stopped checkout as evidence that the provider account has closed.
Stripe's guidance for an owner closing an account says the account cannot close with an existing balance. A negative balance must reach zero; a positive balance must be paid out, and scheduled payouts still occur. Those are Stripe's owner-close conditions. They do not mean Stripe cannot terminate an account that has an amount owed, and they do not establish another provider's closure conditions. For another account, use the relevant provider's written process and agreement.
Reconstruct the amount owed without estimating a balancing entry
Save the current balance record with its account, currency, balance label and observation time. Then work backward through the actual movement history to a balance you can reconcile. Keep different currencies and differently labeled balances separate. A total for one period's activity is not necessarily the account's current amount owed.
For each movement, record its reference, signed amount, posting date, description and originating record. If the history identifies refunds, disputes, fees or other adjustments, connect each to the supporting record that actually exists. Do not assign a familiar label to an unexplained debit merely to make the figures add up. Within one consistent balance scope, the earlier balance plus the posted increases and decreases should reconcile to the later balance. An unexplained difference remains an open question.
Compare unsettled items alongside that reconciliation, not inside it as if they had already posted. A requested adjustment, an unresolved dispute or a planned settlement payment is not a confirmed balance credit. If a movement already appears in the posted history, do not count the same reference again in the pending list. This separation shows both the amount recorded today and the events that could change it later.
Document the settlement route before taking the closure step
Use the verified provider account or its official support route to establish how this account's negative balance is to be settled. Record the amount and currency the provider identifies, the applicable instructions, whether any collection or adjustment is already pending, and which record will confirm completion. The cited closure guidance establishes the zero-balance condition; it does not supply a universal funding method, bank-debit schedule or deadline for every country and account.
Avoid sending a separate payment simply because a balance still looks negative when an existing settlement movement may not have posted. Resolve that movement's status and follow the provider's account-specific instructions. Keep bank details and transfer credentials out of this worksheet and any public inquiry. After the instructed settlement has completed, compare the provider's updated balance with its receipt or movement reference; a payment initiation alone does not demonstrate a zero balance.
If the reconciliation exposes a charge you contest, preserve the exact entry and your question. A request for explanation does not prove that the amount is forgiven or that closure may proceed. Keep the unresolved item visible while obtaining the provider's documented answer.
A zero balance is one closure condition, not the end of responsibility
Stripe states that balance and dispute liability remains after closure. Its owner-close guidance also says payments, refunds and dispute responses on the closed account stop, the account cannot be reopened, and data should be exported first. Review open refunds and disputes, the records needed to handle them, and the provider's instructions before deciding when to close. A zero balance snapshot does not prove that no later obligation can arise.
Keep the final reconciliation, export location, written settlement instructions and closure confirmation together. Separately track any third-party platform account: Stripe says closing one does not close a separate third-party account, or the reverse. Do not mark that other relationship ended without its own confirmation.
