A fee export is being used as a tax invoice

Obtain the provider-issued invoice covering the account and period the bookkeeper requested, and keep the fee export as a separate analytical record. Stripe explicitly distinguishes its CSV fee data from a PDF tax invoice, and the Fees report does not include all invoiced fees. Ask which invoice document is needed and obtain it through the provider’s account or documented support route. Converting the CSV to PDF does not make it the provider’s tax invoice.

Confirm the document request before generating another export

Ask the bookkeeper whether the request is for the provider’s invoice document, transaction-level fee detail, or both. Record the provider, the merchant account or entity, the covered period and the purpose of the request. The word fees can describe data used to explain costs or a document issued to bill for them; those are different requests.

If the request names an invoice, locate the actual provider-issued document and retain the identifying details shown on it. If no such document is available in your account, ask the provider which invoice covers the specified account and period and how an authorized user obtains it. Do not invent an invoice number or assume every account in every country receives the same document. The provider’s answer identifies what it issues; your bookkeeper or qualified tax adviser decides whether it meets the stated purpose.

Use the CSV for the questions it can answer

Stripe’s Fees report provides fee data for analysis and transaction reconciliation. Its recorded documentation says it covers most fees paid from the balance, but excludes charges including Terminal devices, Capital, Atlas and fees invoiced after use. The CSV is not a PDF tax invoice. An invoice may therefore contain legitimate fees that are outside that report’s coverage.

The report’s amount, tax and currency fields are separate. Having a tax column does not turn the file into the requested invoice. Likewise, printing the export, adding a business heading or saving it as a PDF changes presentation, not the issuer or nature of the document. Preserve the original export as fee data and obtain the invoice independently.

An itemized export can help trace a fee to the transaction that incurred it using incurred_by. More than one fee row can refer to the same transaction. Use that detail to explain a line or investigate a difference; do not treat the row count as the number of invoices or assume that the export supplies every billed item.

Match coverage before comparing totals

Put the invoice and CSV side by side only after identifying which account, currency and period each covers. An organization export can include multiple accounts in different formats. A combined file is not automatically the data for the single account named on an invoice. Record the account coverage from the export settings and available identifiers instead of assuming the filename establishes it.

Also retain the export’s date basis. Stripe distinguishes when a fee was incurred from when the balance transaction occurred, so the same date range can answer different questions. Its fee data may take up to 96 hours after the balance effect to appear. These documented limits are reasons to examine a mismatch; they are not proof that any particular missing line is delayed.

Do not change the invoice total to match the CSV or add a balancing line to the export. Keep differences tied to named records: different account scope, different date basis, an excluded invoiced fee, or an unresolved item. If coverage cannot be established, report that before presenting the two totals as a reconciliation.

Hand over a document map with any missing item visible

Give the bookkeeper the provider-issued invoice through the business’s approved private document channel and identify the separate export used for analysis. Include the account and period each covers, plus any missing invoice or unexplained difference. If only the CSV is available, say exactly that. The missing invoice remains a document request; it does not become zero fees or evidence of a tax entitlement.

This comparison does not decide whether an invoice is legally sufficient, whether a tax amount is recoverable, or how the fee should be classified in the accounts. Those questions depend on the actual entity, jurisdiction and records and belong with the qualified adviser. Stripe’s report definitions also do not define another provider’s invoice.

Complete this from the bookkeeper’s request and the documents you actually hold. Keep invoice and export references separate even when their totals agree. Use missing or unresolved where appropriate, and store the documents privately rather than pasting their contents into the worksheet.
