Post-paid invoices are missing from the all-fees report
Keep an obligation list and a linked payment list. Stripe’s Fees report covers most fees paid from the balance but excludes fees invoiced after use, along with specified products. Add excluded invoices to your coverage record, then link each later payment or balance deduction to the obligation it settles. Do not add the invoice total and that settlement amount as two service costs. Unmatched amounts remain unresolved until the records establish what they represent.

An excluded invoice is different from a late report row
Stripe’s Fees report excludes fees invoiced after use, Terminal devices, Capital and Atlas. Its title therefore does not establish that it contains every cost your business has incurred. If the invoice describes an excluded charge, preserve it as a separate source record even when the Fees report has no matching row.
The report also has a data-availability boundary: fee data may take up to 96 hours after the balance effect to appear. That is relevant to an otherwise included fee. Waiting for that window does not remove the documented exclusion for after-use invoiced fees. Classify a missing item as excluded, potentially not yet available, or unexplained only when the record supports that distinction.
Use the actual service and invoice description to make the classification. An unfamiliar charge is not automatically an excluded invoice. Another provider’s report needs that provider’s definitions; Stripe’s exclusion list cannot establish what a different company has omitted.
Build a coverage list at the obligation level
Choose the account, currency, reporting period and purpose of the comparison before totaling anything. A list of services billed for a period and a list of cash paid during that period can differ legitimately. Record the service period, invoice date and collection date separately. For the Stripe report, retain whether the export uses the incurred-at or balance-transaction date basis and the selected range.
Give each genuine invoice an entry with its reference, service, billed period, amount and currency. Keep fee and tax components as the source records present them. Where an invoice covers several services, identify the lines relevant to this comparison rather than adding the whole document beside overlapping report amounts. This is a record of coverage, not a tax determination.
Mark whether the same obligation is already represented in the selected report. A matching amount alone is insufficient: compare the account, service, period and any invoice or source reference. Where the link is supported, choose one representation for the cost list and retain the other as supporting evidence. Do not delete original documents to remove a duplicate from the working total.
Attach settlement without creating another cost
Stripe’s general terms distinguish fee collection methods that can include deduction, charge or invoice. The applicable agreement and regional terms depend on the account; those general methods do not tell you how a particular bill was settled. Use the actual invoice status, payment reference and balance or bank record to establish that link.
When a later debit pays an invoice already on the obligation list, record it as settlement of that invoice. Keep its own amount, currency and date in the payment list. The service obligation and the movement that pays it answer different questions; adding both to a single cost total would repeat the obligation.
If several payments appear to settle one invoice, retain every payment reference under that invoice. If one payment appears to cover several invoices, record only allocations the provider’s remittance record or written explanation supports. Leave any unallocated remainder visible. Do not create a split by assuming similar dates or totals prove the relationship.
A separate fee for collecting a payment would need its own documented basis and line. Neither every debit nor every repeated reference is a duplicate. The purpose of the trace is to identify which entries settle existing obligations and which describe a separately documented charge.
Close coverage gaps with a specific question
At the end of the comparison, label each item as covered once, linked settlement, or unresolved coverage. For a report gap, state the service and the documented exclusion you considered. For an unmatched payment, state which invoice you think it settles and which link is missing. For a potential duplicate, identify both source references and ask whether they represent the same obligation.
The coverage record is complete only for the accounts, services, currencies and dates you actually examined. A missing invoice is a missing record, not a zero-cost service. Have the person responsible for the business’s accounting determine recognition and tax treatment; this worksheet keeps the underlying documents and money movements traceable.

Complete a copy for each invoice or separately identifiable invoice line. Keep the obligation entry and its linked settlement references separate. Total an obligation once in the chosen cost view; use the payment references for the separate cash trace. Unknown coverage or allocation stays unresolved.
