Keep shop notifications assigned when staff responsibilities change

Read each shop notification’s actual recipient setting and enabled state, then match that destination to the team responsible after the handoff. Separately record the From identity and customer reply route. Changing who handles orders does not itself establish that notification recipients changed, and changing the sender is not a substitute for assigning the shop inbox. Close the handoff only when the new owner can access the configured destination and the customer-facing route still has an owner.

Inventory messages by their audience and trigger

Begin with WooCommerce’s email settings and the notifications actually present on your installation. For each shop notification, record its name, whether it is enabled, its configured recipients and the business action someone must take after receiving it. A mailbox address without a responsible team leaves the operational question unanswered; a team name without a configured recipient leaves the delivery destination unanswered.

WooCommerce distinguishes shop messages such as New order from customer messages. The processing-order email goes to the customer after payment, while the completed-order email goes to the customer when the order is marked completed. A customer note also generates an email when the note is marked for the customer. Those customer messages should not be redirected to staff simply because staff duties changed.

Treat differently addressed messages as separate entries even when they concern the same order event. WooCommerce documents failed-order notices for store recipients and for the customer. A record that the customer receives a failure message does not establish who in the business receives the operational notice.

Separate recipients from sender and reply routing

The From name and From address identify the sender customers see. An optional Reply-to can route customer replies separately without changing that From identity. Record these alongside the shop recipients, but do not treat them as the same control. An internal reassignment can require a recipient edit while the truthful public sender identity remains appropriate.

WooCommerce documents that replies to store-recipient messages use the customer’s billing name and email. That route serves a different purpose from the support route on a message sent to the customer. Inspect which kind of message you are handing over before instructing staff where Reply will go. Keep customer addresses in the authorized order system, outside the handoff worksheet.

If the former employee’s address appears in the customer reply route as well as a shop recipient field, assign an owner to each dependency. Replacing only the shop recipient does not establish continuity for customer replies.

Make the responsibility change explicit

For each affected notification, have the business name the new responsible team and the person authorized to change the setting. Establish whether that team can open the destination mailbox and whether any mailbox alias or forwarding arrangement needs its own owner. Record the mailbox administrator’s confirmation instead of assuming that a store setting proves mailbox access.

Keep a dated before-and-after record of the approved recipient change and preserve the intended enabled state. A disabled notification needs an explicit business decision; absence of recent messages does not establish that the old recipient was wrong. Avoid changing customer-facing sender fields merely to make the handoff look complete.

After the authorized change, compare the saved setting with the agreed destination. Use an actual subsequent operational message, when one exists, to record receipt by the new owner. Until then, distinguish configuration confirmed from receipt observed. Do not change an order status or send a customer note just to manufacture handoff evidence.

Close the handoff with specific open items

The useful outcome is a list of notifications with a configured recipient, an accountable team and a dated change record. Keep mailbox access that has not been confirmed, customer reply routes without an owner and unobserved receipt as separate open items. This establishes continuity responsibility without turning the handoff into a diagnosis of every email-delivery problem.

Notification ownership handoff

Complete one copy for each operational notification you actually use. The final column is for your own record. Compare recipient, responsible team and customer-facing route independently; a gap in any one remains open even when the others match.

Worksheet entries are not submitted by Prism’s worksheet and are not saved by the site. Use record types, availability, anonymized observations, or match/mismatch results. Do not enter government identifiers, customer names or addresses, customer messages, receipt-access links, card or bank details, passwords, or keys. Send sensitive documents only through the provider’s verified secure channel.

Limits

  • WooCommerce’s documented notifications do not establish the behavior of an uninspected extension or custom email rule.
  • A configured recipient is not proof of mailbox delivery or team action. Keep customer records and passwords out of the worksheet and public inquiry.
  • A consultation does not authorize changes to store settings or grant provider eligibility.
