Keeping a seasonal account open may still incur charges

Compare the charges your agreements attach to an open account or active service with any written inactivity terms, then place those costs beside the access you still need for records, refunds and disputes. Zero new sales does not establish a zero bill. Use the actual idle dates and billing periods; a seasonal pause, cancellation of a paid service and closure of the processing account are separate decisions.

Define the idle period in billing periods

Write the expected date of the last new payment and the intended return to trading. Keep the return date labeled as a plan. Then identify every bill or agreement associated with that processing arrangement, including separately contracted gateway or platform services. An empty sales report cannot tell you whether those services remain billable.

For each recurring line, record the amount, currency, billing interval and condition that ends or suspends it. Count only the billing periods that the terms say apply. Do not assume a partial month is prorated, an annual charge becomes monthly, or turning off a checkout method cancels a subscription. If the contract does not resolve the boundary dates, leave the affected charge unresolved.

Stripe’s general terms distinguish fees, waived fees and subscription scope, and allow written fee agreements to differ from public pricing. That supports checking the agreement attached to the account. It does not establish that your account has a monthly or inactivity charge.

Separate an inactivity term from ordinary recurring fees

Look for an express inactivity provision and preserve its own definition of inactivity. Record which activity counts, how the period is measured, when any stated charge begins and what ends it. A provision based on qualifying processing cannot be interpreted from a website visit or a dashboard login unless the document says that activity counts.

If no such term is found, write that it has not been located. Do not add an assumed inactivity fee, and do not turn an unsuccessful search into a confirmed waiver. A recurring service charge and an inactivity charge can have different triggers; compare them separately and combine them only where the actual terms make both applicable.

Ask about a dormancy or seasonal option only as an option to confirm. Obtain its covered dates, remaining charges, services retained and return conditions in writing. A request to pause is not evidence that the provider changed the account. Keep the confirmation with the fee schedule so the first idle-period invoice can be compared with it.

Price the option without losing necessary access

List the work that remains after sales stop: existing refund requests, disputes, balances and records needed for reconciliation. Assign a person to monitor the account and its notices during the break. Retained access has a practical purpose only when someone can use it to handle those items.

Stripe’s closure guidance says a closed account cannot be reopened, refunds and dispute responses stop on that account, and data should be exported before closure. Liability for the balance and disputes remains; a negative balance prevents that closure. These are Stripe-specific closure consequences, not a promise about another provider’s dormant-account features.

Compare the confirmed cost of leaving the arrangement open with the confirmed terms of a seasonal option and, only if closure is being considered, its documented consequences. Keep outstanding transaction obligations separate from the price of remaining open: removing a recurring charge would not itself settle an old obligation. Stripe also says closing its account does not close a separate third-party account, or the reverse.

Choose a documented arrangement for the break

You have enough information to choose an idle arrangement when its dates, charges and retained functions are stated, the remaining obligations have owners, and required records can be retrieved. If one option has unknown fees or unknown access, identify that uncertainty beside the option instead of declaring it the cheapest.

Before the break begins, retain the applicable terms and any account-specific reply, export the records you need while available, and schedule an internal check of the first bill for the idle period. A later restart also needs its own account and eligibility check; leaving an account open is not a promise that future processing will be available.
