Closing a platform account does not necessarily close separate processing
Treat each separate account and agreement as its own closure question. Record what the platform confirms, then obtain the processor's actual status and the scope of its confirmation. Stripe explicitly says closing a Stripe account does not close a separate third-party account, or the reverse, and that financial liability remains. Another platform or processor may use a different arrangement. A platform cancellation receipt therefore cannot, by itself, close the separate processing row in your records.

Read the cancellation receipt or notice for the company, service, account reference and effective date it names. Compare that with the platform agreement and the processing agreement. A store login, a platform subscription and a separate processor account may be related operationally while still having different owners and closure instructions. Record the relationship from the actual documents rather than the branding on the checkout button.
This map applies when the records establish separate accounts. If the platform arranged processing but the contract structure is unclear, leave the processor relationship unresolved and ask the platform which entity holds the account and who can confirm its status. Do not invent a separately closable account, and do not assume that losing the platform login proves the processor account closed.
Keep account status distinct from inactivity
For each relationship, copy the status the company actually confirms, its effective date and the scope of that confirmation. Closure requested, closure confirmed and an account left unused are different observations. A stopped storefront supplies evidence about the storefront; it does not establish the state of a separate processing agreement.
Stripe's account-closure guidance explicitly separates its account from a third party's account in both directions. Use that fact only where Stripe is the relevant processor. For another provider, ask whether the platform action affects the processing account and which document confirms the result. If either company calls the account dormant or inactive, preserve that wording and ask what obligations and capabilities remain. Do not translate it into closed.
A continuing invoice or balance record deserves comparison with the named agreement and status notice. Neither its existence nor a lack of new invoices alone establishes whether closure was completed. Record the discrepancy as a specific question about that account and period.
Preserve records before an irreversible processor action
Stripe says an owner remains liable for the balance, including negative balances and disputes, after closure. Its guidance also says a negative balance prevents that owner-initiated closure, that a closed account cannot be reopened, and that payments, refunds and dispute responses on the account stop after closure. Export the records needed from that account before closing it, as Stripe instructs.
Those limits make closure more than an administrative checkbox. Identify outstanding balances, refunds and disputes, and the records the business still needs to act on them. Obtain the account owner's and provider's answers before an action removes a capability the team still needs. Do not infer that continuing financial liability means the old dashboard will continue to offer every action.
For a different processor, record its own documented closure limits rather than carrying over Stripe's. Keep platform invoices and processor financial records identified separately. An unresolved charge, balance or obligation belongs with the company and agreement that can explain it; this article does not calculate a cancellation charge, reserve release or liability amount.
Close each row with its own evidence
Choose a next action separately for the platform and processor: seek status confirmation, request clarification of a surviving obligation, preserve missing records, or have the authorized owner consider closure under the applicable process. If the intended choice is to leave an account open, record that choice and who will monitor its notices. Do not mark an account closed simply to make both rows match.
A useful written question identifies the action already completed on the platform and asks the processor what status its separate account now has, which obligations remain and which account action is still required. File the response against that account. A provider reply about technical disconnection is not automatically a confirmation that the agreement ended.
For a Prism processing consultation, summarize the two relationships, the confirmed statuses and the unresolved question. Scope, responsibilities, fees and terms are agreed before work. The consultation does not close an account, move its obligations or establish eligibility for a replacement provider.

Stripe's closure rules describe owner-initiated Stripe closure and separate third-party accounts. They do not establish another platform's or processor's process.
