Changing a fulfillment partner while checkout and open orders continue
On a WooCommerce store, replacing a fulfillment partner does not move the payment account and does not automatically keep the same shipping methods, tracking messages, or stock counts. You can list the live shipping zones, the orders still awaiting fulfillment, who may change those settings, and which customer emails the store sends. The payment provider still decides account status. The new partner's cutoff, inventory authority, and support duties are whatever your agreement actually says; WooCommerce does not publish them. Shipping at checkout is a store setting, not a partner identity
WooCommerce shows a customer the shipping methods for the one zone that matches the shipping address. Zones are tested from the top of the list downward. If the matched zone has no method, the customer is told that no shipping is available. The built-in methods are flat rate, free shipping, and local pickup. A method supplied by an extension does not appear in that built-in list, so the extension's own settings have to be read separately.
The first enabled method in the matched zone is the default selection. Reordering methods, disabling one, or deleting a zone changes what checkout offers. That change is independent of which company picks up the parcel. Before the old partner stops, write down the zone order, the methods, and any third-party rate the live checkout is using.
Payment providers are configured on a different WooCommerce settings screen from shipping zones. Turning a shipping method on or off does not enable or disable a payment provider. A fulfillment change is not a processing application and does not transfer a provider decision.
Open orders and the messages customers already receive
WooCommerce marks a paid order Processing when it is awaiting fulfillment, unless every product on it is both virtual and downloadable. Completed means the order has been fulfilled. Those order statuses are not the same thing as the newer fulfillment record, which can be draft, fulfilled, or only partly fulfilled. A draft fulfillment does not email the customer. Marking items fulfilled can email tracking details, and the notify toggle controls that message.
The fulfillment record holds the items, a tracking number, a carrier, and a tracking link. The carrier list inside WooCommerce is not a contract with your warehouse. If the old partner is the only place that knows which orders it has picked, export or copy that list while its portal still opens. The store's Processing queue is the list you can still see after that portal closes.
WooCommerce also sends its own order emails. The Completed order email usually goes out when the order is marked completed. The From name, From address, and optional Reply-to are store email settings. They do not update themselves because a warehouse changed.
Stock counts and the credentials that push orders
If stock management is enabled, you enter quantities and WooCommerce subtracts them when sales are made or orders are returned. If it is disabled, WooCommerce does not keep inventory counts; it only stores a status such as in stock or out of stock. A fulfillment partner can keep a second count. Which count you will trust after the change is an agreement between you and the partner, not a WooCommerce rule.
Hold stock applies only to Pending payment orders, and only for the number of minutes you entered. It is not a warehouse cutoff. If the partner accepts orders only until a certain time, that time belongs in the partner's terms. Leave it blank here when the terms do not state one.
A REST API key is created inside WooCommerce, tied to a WordPress user, and can be revoked there. The consumer secret is shown once. A shipping plugin may store a different credential in its own settings. Record which login can revoke each one. Do not put those secrets in the consultation form.
What you can close, and what stays unknown
You can decide which zones and methods stay live, who on your side owns the stock figure, which open orders the old partner must still ship, and which emails mention tracking. You can also decide not to cut the old partner off until those orders have a tracking entry or a written exception.
The payment provider decides whether the existing account stays open. Prism can discuss the public storefront and help organize a processing or website question. Unknown, unless your own documents say otherwise: the partner's cutoff, who pays for a lost parcel, and whether the partner's software will keep sending tracking after its credentials are revoked. A research-use-only catalog does not change these store mechanics, and it does not answer them.
