Tell a checkout, an order status, and a bank deposit apart

They are different records. On Stripe, a card authorization can hold funds before capture. Capture is a later step when manual capture is used. Funds then move from pending to available in the Stripe balance on the settlement timing for that account and method. A payout is a later transfer of available funds to your bank, and the bank may take more time after it receives them. On WooCommerce, Processing means the store recorded payment as received and the order is awaiting fulfillment. On hold can mean confirmation is still open, including separated authorization and capture. Completed means the order was fulfilled. None of those store statuses is a bank deposit. You can match one real payment to the stage its own records show. Your provider explains a stage its dashboard does not label. The bank date is unknown until the payout record and the bank say so. Describe the work you need. Prism will confirm scope, responsibilities, fees, and terms before work begins.

Authorization and capture are not the deposit

Stripe's hold document says an authorization places a hold on an eligible payment method, and that capture is the later step when you use manual capture. If the authorization expires before capture, the funds are released and the Stripe payment status becomes canceled. Cards can be authorized and captured separately. ACH Direct Debit cannot. The capture deadline itself differs by document and is not restated here as one number.

Stripe's card document says the buyer enters card information at checkout. A completed payment form can therefore exist before capture, and capture can exist before the funds are available to pay out. Do not read a checkout confirmation as a deposit.

Pending and available are balance states

Stripe's balances document says a charge appears in the pending balance, minus Stripe's fee, until settlement. You cannot withdraw pending funds. When they settle, they become available and can be used for a payout, a refund, or a transfer. Settlement timing depends on country and payment method. The page's United States card example is a Monday payment that is available on Wednesday, two business days later. The same page says risk criteria might prevent the default timing, and it lists longer settlement for bank debits, including four business days for ACH Debit.

That example is Stripe's illustration. It is not your settlement schedule unless your Stripe account is on that timing. A reserve balance is a further Stripe mechanism: funds in it cannot be paid out until the reserve hold period is complete. A reserve question uses the notice, not this stage list.

A payout is another movement

Stripe's payouts document says Stripe sends funds from the available balance to your bank. The first payout is typically scheduled to complete within 7 to 14 days and can take longer depending on industry, country, and risk. Later payouts follow the account's payout schedule. Funds become available according to settlement timing, and the bank might take additional time after it receives the payout. The expected deposit date Stripe shows is a Dashboard field, not a confirmation that the bank has posted the money.

A payout you cannot match to a deposit is a reconciliation question. It starts from the payout record and the bank record. It is not answered by renaming an earlier stage.

WooCommerce status names are store records

WooCommerce's order-status guide says a submitted order often moves from Pending payment to Processing and then Completed. Processing means payment has been recorded as received and the order awaits fulfillment. Completed means it was fulfilled and needs no further store action. On hold means the order is awaiting payment confirmation. The guide gives two relevant cases: a delayed-notification method, and a gateway that separates authorization from capture. Failed means the payment failed or was declined, and it may appear only after a delayed confirmation ends in rejection.

Refunded means an admin fully refunded the order's value. The same guide says a manual refund can set that status without the buyer's funds having been returned. A WooCommerce status therefore cannot tell you that Stripe has created a payout or that the bank has posted it. Read the order note and the payment record named in that note.

How to name the stage you are looking at

Pick one real payment. Find the checkout result, the Stripe payment status if this payment is Stripe's, the WooCommerce status if the order is in WooCommerce, the balance state, and the payout. Stop at the first record you do not have. That missing record is the unknown. You can decide which stage the records support. Your provider decides a status the documents do not define and any fee or reserve that changes the amount.

Use one real payment. Do not invent an example. Write the identifier the record actually shows, and write unknown when you cannot open that record.
