A purchase-order reference was cut off on the invoice

Trace the exact PO identifier from the buyer's document through your stored order field, displayed invoice, export file and submitted portal value before correcting anything. Shopify B2B documents that a buyer can add a purchase-order number at checkout, but a displayed PO reference is not buyer approval, complete invoice delivery or payment. Coupa's supplier guidance keeps PO changes, invoice approval and payment with the buyer, so a mismatched or truncated reference should be corrected through the authorized buyer or merchant owner rather than guessed. Preserve leading zeros, separators and suffixes as text. If the full value cannot be verified from records, the finding is reference unconfirmed, not invalid.

Capture the authoritative PO string before comparing copies

Open the buyer's PO document or portal record and copy the identifier exactly as presented, including leading zeros, hyphens, slashes, revision letters and suffixes. Record where that authoritative value came from, the date checked and the buyer entity it belongs to. Do not normalize it into a number, remove punctuation, or split a release suffix from the base PO because the shortened form is easier to read.

The comparison must distinguish integrity from validity. A truncated reference can still identify the transaction to your team, while the buyer's matching process may require the full string. The reverse can also happen: the full string is present but belongs to a different entity or expired revision. This worksheet finds the exact mismatch; it does not declare the PO legally valid or invalid.

If the buyer supplied several references, such as a requisition, blanket agreement, PO and release, keep them in separate fields. A suffix that matters to AP can be the difference between an agreement and a release under it.

Follow one value through each system that touched it

Write the PO value as stored in the store order, as displayed to staff, as shown on the customer-facing invoice, as exported to accounting, and as submitted to the buyer portal. Note the field length, data type and any transformation each step applies. A spreadsheet column, CSV export, PDF template or portal field can silently change text even when the original order was correct.

For Shopify B2B, the documented capability is narrow: buyers can select an associated company location and add a purchase-order number, and an order submitted with payment terms can have payment pending. That supports recording a buyer-supplied PO number and keeping payment separate. It does not prove the buyer approved the invoice, that AP received it, or that the displayed value survived every template and export.

Where a portal shows a rejected or disputed invoice, read the reason before editing. Coupa directs suppliers to request a buyer change order for an invoice/PO amount mismatch, and its guidance keeps supplier setup, PO changes, invoice approval and payment with the buyer. A reference correction may be a merchant template fix, a buyer change order, or both; the records decide which.

Correct through an approved path, not by approximation

First preserve the incorrect issued invoice and the exact truncated value. Second identify the earliest step where the value changed. Third choose the correction owner: store configuration or template maintainer for a display truncation, accounting/export owner for a file transformation, buyer purchasing owner for a changed PO, and AP contact for portal resubmission rules. Fourth issue the corrected document only under the buyer's authorized correction route.

Do not repair by typing the closest-looking PO from memory or by copying another order's reference. Do not pad a numeric-looking value with zeros unless the buyer document shows them. If the full identifier is unknown, ask the buyer's authorized contact for the exact reference and keep the request with the invoice history.

After resubmission, verify the acknowledged invoice carries the corrected full reference and that the acknowledgment belongs to the same buyer entity and amount. A corrected PDF without AP acknowledgment remains unaccepted. A portal acknowledgment without settlement remains unpaid.

Keep commercial conclusions and sensitive data out

The operational outcome should be one of: full reference verified and consistent, display-only truncation corrected, stored value corrected from authoritative buyer document, buyer change order requested, portal resubmission pending, or reference unconfirmed. Attach the dated evidence to each outcome.

Tax invoice validity, whether a PO creates a contract, credit terms, product suitability and provider eligibility are outside this page. Legal and tax conclusions need qualified review using the preserved documents.

Use one invoice and one buyer PO. Copy references as text and record the system and date for each observation. Never infer missing characters; the reviewer completes the final column.
