A failed or cancelled payout credits the balance again

A positive entry alone does not establish a new sale. In Stripe, a payout removes funds from the balance, while a failed or cancelled payout returns funds. Match the returning credit to the original payout and its recorded status. Stripe groups payout_cancel and payout_failure under payout_reversal, separately from customer charges. Keep that linked return out of a list labelled new customer payments; retain both movements in the balance history.

Read the movement before adding the credit

Stripe’s balance-transaction documentation describes what moved into or out of the provider balance. A payout is an outgoing movement toward the bank. Its failure or cancellation produces a returning movement. The positive sign describes the direction of that movement; it does not identify a customer, an order, or a new payment.

The reporting category gives a useful second check. Stripe groups payout_cancel and payout_failure as payout_reversal, while charge and payment belong to the charge category. A report that adds every positive row to customer receipts erases this distinction. Preserve the transaction type and reporting category alongside the amount, rather than exporting only a total. These technical groups do not determine revenue recognition or your accounting entries.

Link the return to the payout that left

Open the original payout record and the returning balance transaction. Record their references, account, currency, amounts and dates in your private working papers. Stripe describes source as the originating object for a balance transaction. Use the originating record and any linked payout details to establish the connection; an equal amount on a nearby date is supporting context, not a unique match.

Compare the payout’s failure or cancellation status with the credit’s type. Keep the distinction between failure and cancellation even though both have the same reporting category. If the available export does not expose the link, mark the credit as an unresolved payout-related movement and locate the underlying provider record. Do not invent a payout reference or classify the credit as a sale just to finish the total.

Retain both sides when they fall in different reporting periods. A return this period may reverse an outgoing payout from an earlier period. Omitting the earlier reference makes the current credit look unexplained; adding the return to current customer payments makes it look like fresh trading activity.

Keep the bank record and current balance separate

The provider credit shows money returning to the provider balance. It is not a second bank deposit. Compare the bank evidence for the original payout with the provider’s status, recording whether a corresponding bank entry can actually be identified. If the bank record and provider status appear inconsistent, preserve that discrepancy for the provider and bank instead of choosing whichever result makes the totals agree.

Also record the current available balance as a dated observation. The returning credit is one movement; the balance at a later time is a separate record that may include other activity. Do not use the payout amount alone to infer the current balance, a replacement payout date, or when money will reach the bank. A later payout, if present, needs its own reference in the sequence.

Close the classification or name the missing link

When the original payout, the return and the status agree, identify the credit in your reconciliation as the return of that payout. Keep the original customer-payment records unchanged: this movement does not document another buyer payment. If references, currency or status do not agree, keep the pair unresolved and state exactly which record is missing or contradictory.

Complete one sheet for one returning payout movement using real records. The match is established by linked references and status, not by the positive sign alone. Keep private records in their existing storage and enter only non-sensitive references here. An absent link remains unresolved.
